Job Summary

The Temp Program Coordinator for First Year Experience (FYE) is responsible for supporting FYE programs, logistics, office-wide events, student outreach, room reservations, and purchasing. This role will collaborate with FYE full-time and student employee teams to support events across FYE and communications to support student outreach.

This is a temporary position, beginning as soon as possible, for six months with the possibility of extension of up to one-year. Work is 40 hours per week, with evenings and weekends required.


Responsibilities*

First Year Experience Program Support (60%)

  • Assist with event planning for First Year Experience, including managing workshop and cohort room scheduling.
  • Assist with HR processes for hiring student facilitators and other student employees.
  • Coordinate meeting scheduling for programmatic lead teams.
  • Attend and support office-wide programs, such as celebrations, Class Photo, Diag Day, conferences, and other large-scale events.
  • Provide meeting support and coordination, including note-taking, for FYE’s Student Advisory Board on Wednesday evenings periodically.
  • Provide additional programmatic and logistical support as needed.

Communications Support (20%)

  • Support management of FYE monthly communications to partners and students, including FYE updates and newsletters.
  • Support creation of FYE’s social media materials and contribute to Michigan Housing social media work.

Budget Support (20%)

  • Manage all budget tracking and reconciliation for First Year Experience, including P-Card purchases, concur management, and professional development and conference preparation.
  • Coordinate supply orders for all FYE programs and office needs.
  • Coordinate all catering orders for FYE programs.

Required Qualifications*
  • Bachelor’s degree is required
  • Experience working in a higher education setting.

Desired Qualifications*
  • Experience working or living in on-campus housing or community settings.
  • Working knowledge of University policies and procedures.

Financial/Budgetary Responsibility

Responsible for assisting in the budget projection of two distinct budgets of over a $500,000 budget, including assisting with tracking and reconciling for 3 individuals.

Working conditions

Job requires working evening and weekend hours occasionally

Direct reports

This position may provide functional supervision for up to 4 graduate student coordinators.

This role may have reporting obligations under Title IX and Clery.

Salary may vary depending on qualifications, experience, and education of the selected candidate.

Relocation will not be offered for this position.
