UW-IT is the central IT organization for the University of Washington, providing technology solutions to all three campuses, UW medical centers and global research operations. UW-IT collaborates with University partners to advance teaching, learning, innovation and discovery at the UW. UW-IT is currently looking for a project manager (PM) who will support the UW-IT work on Finance Transformation, the University’s large scale project to modernize the its finance operations, business systems and processes. The position is a role in the newly established UW Finance Transformation Technical (FTT) program.

The PM will be responsible for managing the delivery and execution of FTT assigned work streams in support of the University of Washington’s overall financial transformation program.

• Create and maintain detailed work plans in support of FTT deliverables
• Proactively identify potential risks, dependencies, and obstacles which may hinder successful completion of deliverables and achievement of FTT program goals
• Provide project management support for all major work stream functionality activities, including planning and coordination of change management and communications
• Maintain productive relationships with designated stakeholders/administrators, collaborating at a high level to understand policies, procedures, and established standards
• Manage high-volume workloads by multi-tasking, coordinating with peers, and communicating with customers as required
• Balance complex and competing priorities in a deadline-driven environment
• Ability to adapt and flex within the project management guardrails set for the FTT program

The constituency of UW-IT, and therefore that of this position within FTT, is the entire University, including all campuses. The project management scope of this position requires solid experience with all aspects of large scale, technical projects and project life cycles; expertise with Agile/SCRUM/Kanban project management, and experience adapting project management processes to suit the project team, partners, and the project itself.

Duties & Responsibilities

Project Management (80%)

• Create and maintain detailed work plan(s) in support of FTT deliverables
• Create project management reports that concisely summarize project milestones, progress, resource allocation, and other key metrics requested by sponsors
• Manage scope, budget , schedule, resources, and issues and risks, and adjusting resources, scope, priorities, and schedule accordingly
• Proactively identify potential risks, dependencies, and obstacles which may hinder successful completion of deliverables and achievement of project goals
• Manage FTT Program change request and change control processes, including identification of improvement opportunities, coordination of associated configuration and testing, and handoff to UWFT program to move to Production
• Provide project management support for all major scheduled and ad-hoc FTT functionality roll-outs/activities (e.g., Open Enrollment, Annual Merit processes, mass updates, etc.), including planning and coordination of change management and communications
• Coordinate with other PMs across workstreams to maintain deliverables and coordinate dependencies to ensure program milestones are met

Communication (20%)

• Drive and facilitate communication with program and project teams, management, customers, and stakeholders
• Communicates all project status to roll-up to program status on a regular basis
• Communication to all project stakeholders the status with ongoing projects and process improvement activities and negotiates cross-functional challenges

Required Qualifications

• Bachelor's degree, preferably in Information Management, Computer Science, Business Administration, or related field.
• Minimum of five years of experience performing progressively more complex tasks in information and technical management activities.
• Experience with large scale technical project management in large, complex environments
• Experience with Agile project management
• Experience across systems development lifecycle with experience in all project phases: plan, initiate, elaborate, design, prototype, build, test, deploy
• Demonstrated advance project management soft skills including tolerance for ambiguity, ability to earn the trust of stakeholders, ability to motivate team members, tenacious problem ownership, ability to deliver bad news gracefully, and a dedication to customer advocacy
• Demonstrated excellent written/oral communication skills, technical documentation skills, user liaison skills, and personal interaction abilities
• Strong problem solving skills
• Ability to work independently and with minimal supervision
• Experience facilitating meetings, constructively addressing input and criticism, and resolving conflicts

Desired Qualifications

• PMP Certification
• Experience leading development of end-to-end Information Technology solutions
• Proficiency in JIRA or similar project tracking/issue tracking tool
• Experience in major research university setting
• Knowledge of multiple business subject areas, i.e., Finance, Student, etc.

CONDITIONS OF EMPLOYMENT

Work in an open office environment (with option for 100% remote or hybrid telework schedule) and contribute to collaborative team work focused on problem-solving. Daily
interactions with other team members, subject matter experts and stakeholders at all levels of the organization. While the general working hours are within Monday through Friday, 8 a.m.-5 p.m., this position will, on occasion, need to adjust hours to accommodate the business needs and deadlines.

This position on the Finance Transformation Project is temporarily funded; continued employment is contingent on ongoing funding and performance.
