Reporting to the Director of Online Education & Information Systems, the Specialist will be responsible for the administration of the department’s online course program and student data systems (Technolution’s Slate & Cvent). The Specialist will serve as the primary lead in administering the department’s student CRM systems and will be an integral part of the admissions team providing technical expertise in the administration, configuration, and maintenance of the student information systems. In addition, query and analyze data to support departmental goals and reporting activities. This position will also collaborate with Yale faculty, staff, and subject matter experts to develop and maintain high quality digital learning materials, assessments and courses in accordance with learning objectives. The Specialist will leverage best practices of instructional design and the latest educational technologies to create interactive and exceptional courses and content. This position will be instrumental in course delivery, providing the necessary administrative and pedagogical support required to maintain course quality.
Serve as the functional lead administrator of the department’s online admissions and CRM systems. Collaborate with department leadership and staff to implement improvements to the admissions process, outreach communications, CRM configuration and system maintenance. Create and analyze data reports from CRMs and University student information system. Build and maintain system queries, rules, and logic; troubleshoot issues as needed and optimize systems for efficiency. Document data procedures and best practices, create manuals and user guides for backend processes and for staff functions. Provide ongoing training and support for Slate users in the department. Design and develop effective online courses, content, and related digital media based on current and emerging best practices and technologies, in collaboration with faculty and subject matter experts. Consult with faculty, provide ongoing guidance and support in the creation of online course content and delivery. Serves as the primary provider of administrative and technical support for the online courses. Design and execute web-based / multi-media projects related to program operation. Maintain currency of information and instructional technology systems and best practices. Responsible for the research, testing and implementation of related technologies. Serve on various committees and engage in project work within YSS, CIPE and Yale College.
1. Researches and identifies new trends in online learning technology, design and practice. Makes recommendations to enhance and grow the program. 2. Conducts research on business aspects of potential new online learning project and makes suggestions on business models for new online learning projects. 3. Represents online learning initiative during faculty recruitment periods. 4. Provides assistance for various online learning initiatives beyond for-credit distance programs (i.e., free and open distribution projects). 5. Serves as a primary technical support provider. 6. Assists in the preparation of course materials for online distribution, uploading and organization of course materials, and production of digital resources that will be easily accessible online. 7. Designs, develops and deploys appropriate assessment tools to measure and evaluate all critical aspects of the online course environment. Researches and develops all necessary materials and benchmarking tools to obtain institutional approval for online courses. Participates in ongoing assessment of the effectiveness of the online course materials. 8. Manages all online course development initiatives to ensure that program resources will meet expectations, while meeting schedule timeline and budgetary targets. 9. Provides expert advice on effective and efficient online teaching practices. Develops specialized faculty training materials as needed. 10. Manages relationships with external vendors involved in the production and delivery of courses. 11. May perform other duties as assigned.
Required Education and Experience
Bachelor’s Degree in a related field and three years of related work experience or an equivalent combination of education and experience.

Proficiency with CRM systems (Slate, RegOnline) operation and conditional logic.

Preferred Education, Experience and Skills:
Proficiency with learning management systems and web-based collaborative tools (preferred).
