Founded in 1953, Hudson Valley Community College (HVCC) located in scenic Upstate NY is a multi-campus College with locations in Troy and Malta New York. In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. HVCC does not support Visas. Applicants must currently hold an unrestricted employment authorization to work in the United States and appointment will be contingent upon completion of a background check.

Minimum Qualifications:
Associate’s Degree and one (1) year of work experience required. Experience in administrative support in non-profit, fund-raising and/or event planning environment preferred. Strong organizational skills, excellent interpersonal and writing skills, and a customer service mindset; demonstrated attention to detail, ability to analyze and synthesize data, ability to successfully manage multiple priorities, and ability to relate to people at all levels within the College and community. Proficiency in all Microsoft Office applications required; competency with SCT Banner, Raiser’s Edge or equivalent donor management system preferred. Must be able to attend early morning, evening and weekend events and work with a team in a fast-paced environment

Nature and Scope of Duties:
The Technical Assistant for the Office of Institutional Advancement/ Foundation reports to the Chief Advancement Officer and/or their designee and performs the following duties:

1. Coordinates front office/counter operations to include answering phones, sorting and tracking incoming mail, preparing outgoing mail and large mailings, maintaining files, scheduling meetings, monitoring inventory and ordering supplies, making photocopies, and other related and general office tasks.
2. Manages data entry and reporting in donor database, Raiser’s Edge, Academic Works
3. Supports Chief Advancement Officer, with assistance to the Development Officer, and Alumni Relations & Special Events Coordinator as assigned.

4. Coordinates travel, expense reports, calendar and meeting schedule for Chief Advancement Officer, and assists other Advancement staff with travel and meeting schedules.

5. Assists in preparation, including typing/layout of relevant reports, documents, and general correspondence.

6. Assists the Chief Advancement Officers with campaign management, including meeting arrangements, correspondence and documentation.
• Assists with all other Advancement campaign initiatives.
7. Provides logistical support for donor visits, meetings, dedications, and other events as needed. Serves as liaison to campus community, Graphics and Printing, IT, Special Events office, Marketing & Communications, Physical Plant, Mailroom and Central Receiving.

8. Interacts with current and potential donors on the phone, via email and in person.
9. Coordination of scholarship program to include:
• Manages updates in scholarship management and award database, Blackbaud AcademicWorks.
• Counsels students regarding available scholarship opportunities through the Foundation and Admissions Office, and directs students to other offices on campus that offer scholarship opportunities.
• Provides information regarding external scholarship opportunities.

• Recruits volunteers for Scholarship Review and organizes Scholarship Committee meetings.
• Manages review of scholarship applications and notification of student recipients.
• Manages collection, preparation, and distribution of student correspondence to donors.
• Coordinates scholarship award distribution in collaboration with the Admissions Office, Registrar, Financial Aid Office, Finance Office, Bursar, Vice President for Academic Affairs, Deans, Department Chairs, and faculty.

• Submits scholarship related articles to the student newspaper, The Hudsonian, and the college newsletter, Currents.
• Manages updates of scholarship information on the College’s web site.
10. Prepares and mails donor acknowledgement letters.

11. Supervises student workers, and prioritizes and coordinates student workers’ assignments
12. Positively represents the college and the Foundation, both internally and externally.
13. Performs other related duties as assigned to further advance the Mission of the College and the Foundation.

This is a Full-Time position with a salary of $37,500.00.
