Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Position Summary Information


Job Description Summary
The Talent Management Assistant will be responsible for data entry and maintenance in University HR systems. They will handle data intake, record maintenance, and assist in the onboarding of new employees. This role will act as a liaison between Talent Acquisition, Student Employment, Total Rewards, Human Resources Information Systems (HRIS), Payroll, and other university departments. The individual in this role will manage employee records within HR systems, provide clerical support for record digitization, archival, and disposition. They will also offer frontline support to new employees, requiring effective communication and customer service skills, both in-person and over the phone. Additional administrative or clerical tasks may be assigned as needed.
This recruitment has 2 open positions, and it will be a full-time, in-person position. 
Responsibilities
Data Entry and Intake:
  • Collaborates with Talent Acquisitions, Student Employment, and Payroll teams to receive, verify, and enter relevant staff, administrator, limited-term, student, temp, and faculty employment source data. 
  • Manages data and documentation concerning hiring, termination, employee status changes, and special compensation. 
  •  Initiates background checks and conducts LiveScan screening as required. 
  • Initiates new hire documentation, including DocuSign, as well as conducting I9 verification to facilitate the new hire onboarding process.
  • Collects and verifies various hiring and personnel-related documentation to ensure accuracy and completeness. 
  • Serves as a point of contact for department administrators; collaborates with them to ensure data validity and track employment data changes 
  • Maintains confidentiality and integrity of sensitive personnel information throughout all stages of data handling. 
  • Provides administrative support and assistance to streamline document management and data entry procedures.

 
Document/Record Digitization and Maintenance: 
  • Provides administrative support for storing documents, records and other related materials.
  • Organize and maintain digital records and files in accordance with established protocols. 

Required Qualifications
  •  Associate’s degree and/or 3 years of relevant experience
  • Demonstrated experience in providing administrative support within a professional office setting
  • Proficient communicator, consistently delivering clear and meaningful information, actively listening, and ensuring comprehension among all parties
  • Possesses strong analytical and critical thinking skills, with a keen eye for detail, facilitating effective communication with diverse groups
  • Excellent time management skills, capable of prioritizing tasks efficiently in a fast-paced environment while maintaining composure and focus
