Position Focus:

We are modernizing the university Talent Acquisition function to achieve our goal of making hiring faster and simpler, resulting in more successful recruitment of highly talented and diverse employees for Yale University. As a part of this transformative effort, those in the coordinator position play a pivotal role in the oversight of administrative and operational workflows.  These positions report centrally to an Administrative Manager, through the TA Operations team.

TA Coordinators plan and manage recruitment administration, including data entry and management, interview scheduling and new hire processing. Individuals in this role work closely with TA Partners, TA Sourcing Specialists, Hiring Managers and Candidates to ensure a positive recruitment experience and seamless transition to onboarding.

Primary responsibilities include:

Enhancing recruitment, with the goal of supporting a seamless candidate experience, monitoring outstanding searches - provide updates and suggested actions to create forward movement, quality reviewing and updating job descriptions, and postings, and supporting recruitment event planning and logistics.

Enhancing sourcing, with the goal of providing support for scheduling interviews, recording relevant candidate data for pipeline management, coordinating to identify opportunities for silver medalists, running reports to track source effectiveness.

Enhancing TA Operations and Departments, with the goal of monitoring workflows, metrics dashboards, and feedback received; bring forward issues needing resolution or processes needing adjustment and ensuring a smooth handoff for the New Hire process.

Enhancing HRISS, with the goal of problem solving and solutioning for technology aspects of the TA process.

Enhancing candidates with the goal of serving as a key point of contact through the recruiting process, ensuring a seamless candidate experience.

Essential Duties

1. Oversees and coordinates recruitment administration. Establishes, selects, implements, and coordinates office procedures and systems. Serves as principal source of information to TA and HR Partners, Hiring Managers and candidates.2. May provide instruction and training to new and existing support staff3. Recruitment Support: Provides administrative support to TA Partners and Sourcers throughout the hiring process, including but not limited to: requisition editing and processing, interview scheduling, data entry/ modification/ gathering, form processing, correspondence composition, testing administration, background check processing, hire processing, new hire orientation coordination, basic ATS support, temp hire processing4. Team Operational Support: Coordinates of logistics, including but not limited to: onboarding/offboarding of team members, oversight of rotational schedules and tools, ordering of facilities and equipment, review and escalation of metrics gaps and feedback (process or technical), responds to Salesforce tickets and administers tracking/monitoring, oversight of internally managed programs (IEP, YTSS)5. Executive/Leadership Support: Complex calendaring, meeting/training/event coordination and logistics, financial and expense management, purchase orders and expense reports, invoices6. Other duties as assigned


Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.


Required Skill/Ability 1:

The ability to adapt to changing organization priorities and environment; flexibility and nimbleness amidst change and new workflows.


Required Skill/Ability 2:

Proficiency in Applicant Tracking Systems (ATS).


Required Skill/Ability 3:

Strong customer-service orientation and awareness of Yale HR customer service processes and tools relevant to TA.


Required Skill/Ability 4:

Excellent written and oral communication skills. Excellent listening and interpersonal skills.


Preferred Education, Experience and Skills:

Strongly prefer working knowledge of University policies, procedures, and collective bargaining agreements.
