Job-Specific Responsibilities

The Talent Acquisition Coordinator contributes to FAS Human Resources Talent Acquisition and Development achieving its mission: to attract and engage a diverse, talented staff committed to excellence and mutual respect, we strive to create an inclusive work environment that supports the growth and well-being of all members of the FAS community.
Reporting to the Director of Talent Acquisition Development, the Talent Acquisition Coordinator provides support, coordination and highly-detailed, accurate work in the consistent and effective application of policies, procedures, and practices of the TA Team and FAS Human Resources department. 


The Talent Acquisition Coordinator provides proactive customer-focused service to departments and applicants. Troubleshoots, directs and finds solutions to inquiries from Talent Acquisition Consultants and applicants on hiring related issues. Serves as resource and contact for all FAS departments for information on:
Applicant Tracking System and Compliance 

  • Supports department administrators in use of Harvard Careers (ATS), Harvard University’s recruitment management system in areas of creating requisitions, dispositioning candidate pools and sending communications. 

  • Monitors, maintains, and audits recruitment management system to ensure compliance by running timely reports, communicating to departments missing information, and updating requisitions for compliance and job closings. 

  • Compiles data for dashboards and metrics on hiring and affirmative action. 

  • Serves as back up for Harvard Careers posting approvals: reviews, edits, and approves in accordance to posting requirements, compliance with HUCTW generics, proper use of basic qualifications, and other job posting requirements. 

  • Troubleshoots and reports talent acquisition system issues in collaboration with Central Recruitment and the Harvard help desk. 

  • Administers DZConnex MSP (formerly Yoh) and the Fieldglass system with respect to temporary and less-than-half-time staff (LHT’s) 


Pre-Employment Screening/Offer Letter process/Reference Checks 

  • Produces offer letters in a timely and accurate fashion. Acts as primary contact for department administrators in the management of the pre-employment background screening process. 

  • Implements and interprets screening policies and procedures. Keeps accurate records of pre-employment screening billing. 


Talent Acquisition Services 

  • Provides recruitment support to FAS departments as needed by assisting in candidate searches, including sourcing resumes, phone screening candidates, conducting interviews, scheduling interviews, coordinating interview itineraries, keeping hiring managers apprised and updated when assisting on a requisition, and conducting reference checks. 

  • Posts jobs on external job boards as needed. 

  • Provides proactive customer-focused service to department and candidates. 

  • Monitors Talent Acquisition Services mailbox and responds to inquiries and request in a timely fashion 

  • Represents FAS Human Resources at University-wide meetings and committees, as needed.

  • Participates in University-wide recruitment and hiring process initiatives. 

  • Works with HR team members to ensure effective meeting of organization objectives.
  • Undertakes special projects related to Recruitment/recruitment/hiring. 

Basic Qualifications

Minimum of five years administrative and customer service experience supporting a human resources organization. 


Additional Qualifications and Skills

  • Intermediate skills in Excel required. 

  • Prior recruitment support experience preferred. 

  • General knowledge of HRIS, ATS and or recruitment management systems. 

  • Proficiency with Microsoft Office (MS Word, Excel, PowerPoint). 
  • Demonstrated ability to work in a fast-paced environment.
  • Strong attention to detail and ability to multi-task effectively. 
  • Excellent organizational, proof reading and problem solving skills are critical. 

  • Prior experience using online and social media recruitment tools preferred. 

  • Excellent interpersonal skills and writing ability. 

  • Must have the ability to maintain a sense of urgency
  • Must have the ability to maintain confidentiality.
