Talent Acquisition is seeking an admin extraordinaire to help us with the transactional needs of our recruitment team. This individual is the first line of contact for hiring managers and hiring coordinators and other HR team members within the TA center of excellence in central HR. This is not a recruiter role.
 

We are looking for an individual who can support and partner with our recruiters to deliver on TA’s strategic direction and goals. Our team needs a responsive, self-motivated, and detail-oriented individual who helps nurture our brand by delivering exceptional customer service. This position is perfect for an individual who is flexible, innovative, positive, enthusiastic, and able to confidentially handle sensitive information. We need someone with strong computer skills who enjoys working with data and can easily learn new systems.

 

This role handles administrative support for a wide variety of functions related to recruiting and hiring requiring accuracy and sound problem solving. In addition to the essential functions listed below, this position will:

  • Accurately process job REQs in our ATS SuccessFactors
  • Ensure timely communication with stakeholders and applicants
  • Ensure postings are accurate and well-formatted
  • Work with our advertising vendor and track expenses
  • Respond to hiring unit questions
  • Triage and troubleshoot user issues with our ATS
  • Schedule interviews and meetings
  • Run recruiting reports in our ATS
  • Audit REQs and job postings
  • Monitor career site for accuracy and consistency
  • Seek documentation and post-search feedback for retention purposes

 

Perform a variety of transactional tasks to support Talent Acquisition (TA) related to troubleshooting, administration, coordination, and communication to ensure compliance, effectiveness and efficiency. 


Essential Functions
  • Manage and coordinate TA email boxes.
  • Provide troubleshooting and customer service to internal and external users of the Applicant Tracking System (ATS). Resolve duplicate candidates.
  • Maintain relationship with posting vendors providing URL tracking and posting updates.
  • Work closely with HR Compensation team to confirm job profile and compensation data.
  • Collaborate with HR Operations team to validate requisition data.
  • Assist recruiters with testing and other transactional recruitment related duties. Act as backup for background check adjudication.
  • Partner with HR decentral units on recruitment needs in support of Recruiter.
  • Create routine reports for units as requested. Prepare monthly report for unions. Maintain TA SharePoint pages.
  • Perform ATS audits on a recurring schedule.
  • Work on special projects and serve on committees as needed. May coordinate job fairs and maintain documentation.
  • Must maintain confidentiality with high level of integrity. Responsible for accurate and timely storage of HR-related documents in accordance with UC’s Records Retention Schedule.

Required Education
  • Bachelor's Degree must be in Business, Human Resources or related office-focused field.
  • Four (4) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience
  • Basic computer and software knowledge, including Microsoft Office Suite applications (Excel, Word, Outlook, PowerPoint) experience.
  • Effective written, verbal and interpersonal communication skills to interact effectively with faculty, staff, students and community members of diverse backgrounds.
  • Ability to multi-task and prioritize deliverables.
