Summary/Objective

The Systems Applications Analyst is a key member of the Office of the University Registrar (OUR) Student Systems group. This individual manages and maintains ServiceNow and SharePoint web applications, as well as business intelligence data and reports used by OUR. This individual works very closely with each of the OUR areas to assess, train, and assist with the implementation, conversion and customization of administrative software solutions. This individual also manages the creation, monitoring and editing of all web content for the Registrar’s website and portal pages. This individual is responsible for creating and maintaining all forms published by the OUR. They work with the Office of Information Technology (OIT) business analysts and other student service units (AUC, OSA, OFA, etc.) to support this goal.

Other priorities include management of department IT assets, new hire onboard training for various information systems, hardware, and software diagnostics to resolve workstation issues.

This position reports directly to the Assistant Registrar for Student Systems and works closely with the Reporting Coordinator, the Business Intelligence Analyst and the Assistant Registrar for Information Systems and Analytics under the leadership of the Associate Registrar for Information Services and Student Systems. 

The position requires the highest level of discretion in handling sensitive data and confidential records. Hiring offers for this position are contingent on successful completion of a background check.


Essential Functions
  • Manages and maintains projects related to the ServiceNow and SharePoint web applications.  Works with OIT on configuration design of projects within both applications. Coordinates all UAT and troubleshoots issues related to these platforms. Provides training and support as needed. Runs internal strategic meetings to review project statuses, testing and proposals.

  • Maintains the OUR and web and portal pages to ensure accuracy of all academic information and compliance with all university standards as outlined by UCM and OIT. This individual is responsible for meeting deadlines for technical changes to navigation and sub-site build-outs. This individual works with the Assistant Registrar and peers on the CPC to assist OIT in testing for software and application patches/upgrades and web redesign projects. Assists in the development and maintenance of electronic forms published for use on the OUR and web pages as requested. This individual runs internal strategic web committee meetings to ensure continued accuracy and improved quality of end-user web experience.

  • This individual assists with internal training in the OUR on technologies used including but not limited to the production of video tutorials and in-person trainings. Creates, audits and maintains documentation of technologies used within OUR for internal staff and the AU Community in accordance with industry best practices. 

  • As a project support coordinator for the OUR, this individual consults with the Assistant Registrar, systems analysts, programmers, and end users to gather information about: functions, features, data requirements, input/output requirements, internal/external checks and controls, hardware and operating system environment, and interfaces with other systems. This individual is responsible for designing and/or writing program specifications based on consultations with others to streamline and improve productivity in systems that support the student experience. 

  • This position will perform other duties  as assigned by the Assistant Registrar, Associate Registrar, and University Registrar.


  • Work Environment
    • No travel is required. Occasional travel may be optional to attend trainings, seminars and/or conferences locally or nationally but will be limited to once or twice per year.

    • Full Time, 35 Hours per week.

    • This is a union-eligible position.


    Salary Range
    • $61,610-$69,615/year, commensurate with experience.

    Required Education and Experience
    • Bachelor's degree or equivalent.

    • 3-5 years of relevant experience.

    • Experience applying database concepts, project management, requirements analysis, business process management and system troubleshooting techniques. 

    • Experience in a functional support role for ERP implementations.

    • Experience in website maintenance and/or web communications.


    Preferred Education and Experience
    • Bachelor’s Degree in MIS, Computer Science or a closely related field, or equivalent work experience in one or more of the major duties.

    • Experience with ITSM tools and systems administration, preferably with ServiceNow and SharePoint.

    • Experience with ERP systems or other relational databases and data warehousing including understanding of Extract, transform and load ETL processes.
    • Experience with Ellucian Colleague or Workday Student.
    • Product Management or User Experience Design.
    • Experience creating reports and familiarity with report writing tools, particularly Informer and/or MicroStrategy.
    • HTML proficiency and CMS or Web Management experience.

    • Working knowledge of relevant laws and regulations affecting academic institutions such as ADA, FERPA, HEA etc.

    This position is part of a collective bargaining unit represented by SEIU Local 500. That means the terms and conditions of your employment are governed by university policy (including the Staff Personnel Policies Manual) and any collective bargaining agreement entered into between American University and SEIU Local 500.
