The Department of Surgery has an exciting opportunity for a Surgery Scheduler 2 position. The incumbent acts as liaison between patients, professional staff, and physicians by scheduling and coordinating all necessary functions for surgical and diagnostic procedures. Further, the Senior Surgery Scheduler acts as source of knowledge for scheduling staff and oversees their functions to ensure accurately and timely scheduling practices.

CORE JOB FUNCTIONS                                                                                           

  • Obtains pre-authorizations for procedures as required by insurance companies.

  • Oversees, produces, and distributes all surgical and procedural schedules to physicians and departments.

  • Collaborates with patients, families, staff, and providers within the office and the greater community to schedule surgeries, pre-op physicals, and testing.

  • Coordinates with hospitals and vendors for special cases or circumstances.

  • Identifies ways to streamline surgical scheduling process and provides suggestions to managing staff.

  • Ensures that electronic systems and scheduling tools are up-to-date and operating smoothly, and immediately contacts appropriate personnel to resolve any issues.

  • Ensures documentation is complete to support accurate billing of surgical procedures.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS                                                                                        

  • High School diploma or equivalent required

  • Minimum 3 years of relevant experience

DEPARTMENT ADDENDUM

Department Specific Functions

Obtain necessary insurance authorization from insurance company with the proper Procedure (CPT) and Diagnosis codes (ICD9/10). Communicate to the patient surgical information, all necessary prep the date/time/location of the appointment. Takes reservations for all surgeries, invasive and non-invasive procedures to meet the physicians’ needs and to ensure smooth flow, efficient progression of scheduled cases. Continually audits the daily schedule and informational comments to appropriate personnel. Organizes and prepares the Surgery Schedule for the following day and delivers to all appropriate departments daily. This is done by computer. Communicates all changes in the schedule to all involved physicians, OR personnel, and other ancillary hospital departments as appropriate. Establishes and maintains open lines of communication with physicians and office personnel, UPAC and OR personnel, and other ancillary personnel. Maintains current surgery logbook daily. Communicates information about the surgical progress to the patient’s family/significant others and takes and records messages and communicates to appropriate medical staff members. Verify Medical eligibility, Single Cases, International Patients Billing and self-pay billing. Monitor and track surgeries and ensure documentation is available for proper billing. Other duties as required of department’s operational needs.
