Wayne State University is searching for an experienced Supervisor, Theatre and Dance Department at its Detroit campus location.

Essential functions (job duties):

Oversees the day-to-day workflow of the Department of Theatre and Dance within the College of Fine, Performing and Communication Arts.  Ensures a smooth operation for those external constituents conducting business with the department as well for faculty and staff seeking assistance with the processes of internal business within the University.  Reports to Department Chair.

Supervises and participates in processing of University paperwork including personnel, payroll, travel reimbursements, guest artists, awardees, and special guests.  Prepares class schedules, including: coordinating scheduling, room changes, liaison to scheduling and registration, grade coordinator and grade proxy.     Supervises, trains and coordinates work of clerical/technical support staff, student assistants and temporary employees. Interviews and recommends selection of new office support staff.  Assigns tasks to appropriate staff.  Develops standard work procedures where appropriate. Reviews, monitors and evaluates work performance.  Coordinates work schedules, vacation days and lunch hours for clerical student assistants and temporary staff to ensure coverage.

Maintains faculty and staff personnel files and departmental records; supervises the maintenance of student files.  Prepares departmental activity reports and analyses, including surveys, grants, proposals, and reports.

Represents the department to other University personnel, outside agencies and professional groups.  Participates in various committees and attends meetings. Serves as key resource for resolving problems and answering questions.

Responds to inquiries regarding operational activities. Identifies and resolves problems as they occur; ensures operations are conducted in accordance with university policies and procedures and assist in improving operational efficiencies.

Assists in budget and personnel related activities.  Monitors various account sources; maintain related reports and records; prepare and process University forms and related paperwork actions; utilizes appropriate University systems (e.g., HRS, FMS, PPS, etc).

Works in coordination with the department's Budget Analyst to monitor departmental expenditures, budgets, and generate appropriate reports.  

Monitors and supervises the maintenance of inventory of equipment, materials, and supplies and supervises the ordering of supplies.  Oversees the maintenance and repair of office equipment.  Serves as liaison with Facilities, Planning, and Management regarding office and classroom maintenance issues.  Assists in departmental searches, including scheduling of interview appointments and travel arrangements.  Generates faculty search budget reports.  Coordinates reservations and catering for academic unit special events.

Performs other related duties as assigned.


Qualifications:

Education   Bachelor's degree

Bachelor's degree from an accredited college or university with coursework in Business Administration or related discipline.  Candidates with a High School Diploma and appropriate experience may be considered.

Experience   Intermediate (3 to 4 years job-related experience)

Minimum 3 years related work experience. Experience in university practices, policies and procedures. Experience with university systems such as BANNER, STARS and COGNOS.

  • Job Effectiveness Skills: designs work flows and procedures; identifies and resolves problems in a timely manner; prioritizes and plans work activities; adapts to changing conditions; organizes or schedules staff and work processes.
