Position Summary
Position supervises patient account insurance activities with the Manager of Patient Accounts in a fast-paced Physical Therapy Program. Interviews and selects employees, facilitates resolution of personnel problems and conducts staff performance reviews on an annual basis. This position will utilize Epic work queues, reports, and will assist with processing of applicable charge posting, coding and pre-arrival duties as needed.


Job Description

Primary Duties & Responsibilities

  • Works with the Manager of Patient Accounts to oversee and provide assistance to the team, to include billing, coding, pre-arrival, and provider enrollment tasks. Assesses and resolves insurance payer trends and reports. Identifies payer updates related to therapy guidelines and informs staff, providers and management. Serves as a patient advocate and handles patient complaints/concerns with immediate response and action. Ensures all HIPAA guidelines are followed and implemented.  Supervises specialized services. 
  • Plans and participates in the recruitment, selection and retention of quality staff. Provides assistance to the Manager of Patient Accounts with ensuring the pre-arrival and billing team members are training in their roles. Develops new staff orientation schedules. Assists with establishment and maintenance of policy and procedure manuals and provides communication. Promotes teamwork and a spirit of cooperation amongst the staff in support of each other and all stakeholders including patients, providers, visitors and staff. Supervises the performance of staff and actively coaches and counsels staff to exceed expectations. 
  • Conducts performance evaluations and oversees work schedules and time records. Monitors staffing assignment and coordinates coverage for pre-arrival and billing staff positions. Maintains competence in relevant job duties up to and including all job duties performed by supervised staff.
  • Serves as back up for pre-arrival and billing teams during high volume times and/or staff vacation and illness.  Attends applicable meetings as identified related to clinic operations. Ability to travel to on-campus locations, as needed, for meetings, trainings, and job-related tasks. Supports manager in other special projects as needed, including other duties as assigned.

Preferred Qualifications 

  • Five years of related experience, preferably in a medical insurance billing/office setting.
  • Demonstrated supervisory/leadership experience in a healthcare environment.
  • Working knowledge of clinical practice. 
  • Thorough knowledge of medical terminology, Medicare, managed-care guidelines and medical procedural coding.
  • Experience in ICD-10 and CPT codes.
  • Experience interacting with managed care plans, insurance companies and third party payers.
  • Possesses excellent verbal, written and interpersonal communication skills. 
  • Ability to prioritize multiple tasks and be capable of working in a fast-paced environment.
  • Ability to work independently with a strong attention to detail. Precise follow up skills required.
  • Ability to handle confidential matters discretely is required. 
  • Ability to handle stressful situations, and have excellent decision-making skills. 
  • Use of general office machines required.
  • Proficient computer skills, including working knowledge of Microsoft Office Suite, E-mail and Epic EHR.


Required Qualifications

Equivalent of a Bachelor’s degree with training in accounting, and five years’ experience in business or a related field, including supervisory experience in health care reimbursement environment.

Salary Range
$55,000.00 - $85,300.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
