Position Highlights The University of Arizona R. Ken Coit College of Pharmacy (RKCCOP) Office of Student Services is seeking to hire an in-person Coordinator of Admissions and Scholarships to join our team on either our Tucson OR Phoenix campus. This position will coordinate processes, procedures, and technology strategies for assessing and evaluating PharmD applications through the PharmCAS admissions program and Kira Talent interview platform, is responsible for collecting student data to demonstrate adherence to accreditation standards and will work closely with the Admissions Committee. This position will also provide support for the PharmD student population by managing college scholarships through Scholarship Universe and serving on the Scholarship and Awards Committee.

Duties & Responsibilities

1.  Admission Coordination

  • Work extensively in PharmCAS application system
  • Review and analyze application data to assist with preparation of applicant rank order for Admissions Committee review.
  • Monitor, adjust and evaluate the admissions process with college and campus admissions units.
  • Confer with and advise staff, applicants and others to provide technical advice, problem solving assistance, and answers to questions and admissions goals.
  • Coordinate, and perform data collection, analysis, and generate reports from the PharmCAS applicant system.
  • Coordinate Admissions Interview process using the Kira Talent platform and individual interviews by current PharmD students.
  • Develop and maintain student database using PeopleSoft.
  • Provide administrative support for admissions process.

2. Scholarship Coordination

  • Develop and maintain college scholarships in the Scholarship Universe application system.
  • Maintain and update scholarship criteria in application system.
  • Download, analyze, interpret and organize Scholarship Universe data for the awards committee.
  • Develop efficient processes to organize scholarship committee meetings ensuring proper review of applicants. 
  • Participate in scholarship committee meetings. 
  • Track award recipients, award scholarships to bursar accounts, and track disbursement of scholarships.
  • Create reports for scholarship committee and for University financial aid related to scholarship balances, criteria and awards.
  • Develop effective communication through email and workshops to student body regarding scholarship application process, timeline and awarding.
  • Provide administrative support to college business office and development office.
  • Work with deans and Admission Committee on admissions scholarship.
  • Educate prospective students and parents about scholarships.

3.  College event as Student Services Team member

  • Collaboration with the team for recruitment and college events. 
  • Serve as a cohesive member of the Student Services Team and assist members as needed. 
  • Additional duties may be assigned.

  • Knowledge of academic institutions and student service needs.
  • Superb customer service skills.
  • Ability to work with academic and administration staff members.
  • Ability to maintain confidentiality and safeguard information.
  • Ability to effectively communicate orally and in writing.
  • Skills to organize and prioritize multiple tasks, attention to detail. 
  • Technical skills in databases, and Microsoft programs.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of five (5) years of relevant work experience is required.
Preferred Qualifications* Experience in national admissions application program (e.g. PharmCAS).
* Experience in a university environment, preferably the University of Arizona, customer service oriented.
