Job Description

The Department of Psychology seeks a Student Support Coordinator to support graduate student functions as one of two dedicated full-time staff members in the graduate studies office in the Department of Psychology. Broad responsibilities of the office include liaising with the Graduate College for all ASU processes and procedures for graduate students; assisting with admissions, recruitment, and orientation processes for the Department’s doctoral, master, and certificate programs; meeting with graduate students to assist with iPOS; managing grades and academic records for ongoing and graduating students; creating annual reports; etc.

Essential Duties

The Student Support Coordinator will work with a second Student Support Coordinator, sharing duties that include the following:

  • Manage the administrative process for graduate students in the Department of Psychology.
  • Interact with diverse groups of faculty, staff, students, and the general public; interpret and guide students, faculty, and staff with adhering to and complying with the university, college, Department, and program-level academic guidelines, policies, and procedures, in relation to recruitment, retention, degree progression, and graduation.
  • Help students with administrative aspects of facilitating completion of program milestones , such as submission and approval of Plan of Study, international student paperwork, thesis/dissertation completion processes, collection of assessment data and reporting to the university, qualifying, and comprehensive exams, advancing to candidacy, and probation and reentry.
  • Utilize PeopleSoft, ASU Dashboards, GPortal, Google Drive, Qualtrics, AppXtender, and internet-based programs to collect, interpret, and present data; generate reports and process overrides.
  • Attend relevant Graduate College and departmental meetings.
  • Work with faculty and graduate students to coordinate the admission and recruitment of graduate students, including over 500 applicants with various deadlines.
  • Enter/update the UGF (block grant) awards, route for approval, and keep track of spending.
  • Provide support to the masters programs, including tracking admissions, enrollment, student progress, and event planning (e.g., Orientations, Fall and Spring Meet & Greets, and Spring Conference). Complete documentation for ASU student offices (e.g., International Students and Scholars Center)
  • Provide support to the graduate certificate program(s), including tracking admissions, enrollment, student progress, iPOS processing, probation tracking, and advising holds.
  • In collaboration with the Director of Graduate Studies, manage the Graduate Student TA assignments for summer, fall, and spring, and manage funding for all Ph.D. students each semester.
  • Respond to inquiries (prospective students, current students, faculty, alumni, etc.) in a timely manner using effective interpersonal communication and critical thinking/problem-solving skills and methods, as appropriate to address questions and/or concerns.
  • Utilize technology to manage the admissions process: compiling applications, attending meetings, preparing for interviews, drafting offer letters, managing applicant funding, etc.
  • Work collaboratively and collegially with other academic units and service providers throughout the university and community to facilitate comprehensive student support.
  • Enter tuition remission for graduate students in PeopleSoft.
  • Managing interviews including coordination of food, lodging, schedules, budget, invitations, and travel reimbursements for admissions interviews.
  • Supervise student worker(s).
  • Other duties as assigned.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three years administrative/coordinate program experience; OR, Master's degree in field appropriate to area of assignment AND one year administrative/coordinate program experience; OR, Seven years of progressively responsible administrative/ coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of a Bachelor's Degree and at least three years of experience in higher education.
  • Demonstrated knowledge of issues pertaining to the area of assignment.
  • Demonstrated knowledge of organizational practices.
  • Demonstrated knowledge of computerized student systems.
  • Experience downloading data by utilizing dashboards and using ASU Analytics.
  • Experience with Microsoft Excel spreadsheets and Google Drive.
  • Demonstrated knowledge of supervisory practices and principles.
  • Experience in coordinating and prioritizing work and activities of self and others.
  • Experience in establishing and maintaining effective working relationships.
  • Experience using Salesforce and PeopleSoft.
  • Experience working in Higher Education.
