Position Overview

The Student Services Specialist serves as the lead administrative associate for the front desk of the Welcome & Success Center in the Regents Center building at the KU Edwards Campus. They also provide guidance, training, and support to student hourly workers and assist the Associate Director of Student Services in the planning and execution of student engagement events, including but not limited to orientation, graduation, and the support of student groups. This position will also support other student success, enrollment, and retention initiatives as specified by the Student Success and Support Services leadership team.

This position reports directly to the Associate Director of Student Services at the KU Edwards Campus with strong ties to other units within Student Success and Support Services. This position will work closely with the KU Edwards Academic Success, Enrollment Services, Marketing, Facilities, Information Technology, Community Engagement, and Events teams.

The KU Edwards Campus is located in Overland Park, Kansas. In a continuing effort to enrich the university and provide equal education and employment opportunities, the university actively encourages applications from members of underrepresented groups.

Working hours for this position are 10 am to 7 pm Monday through Thursday and 8am to 5pm Friday. Campus operating hours are 7:30 am to 10:30 pm Monday through Thursday, 7:30 am to 5 pm Fridays, 7:30 am to 5pm Saturdays, and 1 to 5 pm Sundays. The work schedule for this position will coincide with student needs, traffic, and events at the KU Edwards Campus, including working some evening/weekend hours. Travel time is less than 25%. This is not a remote position and the duties for the job require the individual to physically be on campus each day of work.

Job Description

45% Welcome & Success Center Support

  • Responsible for creating a knowledgeable and friendly presence at the front desk of the Welcome & Success Center and providing exceptional customer service to all patrons, whether interacting in-person, via phone, or online.
  • Maintain knowledge of all Welcome & Success Center procedures to ensure the efficient operation of the front desk.
  • Under the direction of the Associate Director of Student Services, provide guidance, training, and support to student hourly workers. This position does not include supervision responsibilities.
  • Maintain general working knowledge of KU Edwards academic program offerings and all student services, resources, and procedures.
  • Utilize Microsoft Outlook and Hubspot CRM to schedule student appointments, monitor the chat functionality, document interactions, and follow up on student needs.
  • Utilize Microsoft Teams and Skype for Business to communicate effectively with students and colleagues.
45% Student Services Team Support
  • Assist the Associate Director of Student Services in the planning and execution of student engagement events, including but not limited to orientation, graduation, and the support of student groups. This involves the setup and takedown of student events (in-person and virtual) and participating in planning meetings and committees.
  • Assist with the maintenance of the KU Edwards Student Services social media pages and the development of creative documents, such as flyers and PowerPoint slides.
  • Participate in student success, enrollment, and retention initiatives as directed by the Student Success and Support Services leadership team, including but not limited to calling and email outreach campaigns to prospective and current students and student services reporting and tracking.
  • Maintain familiarity and adhere to KU policies, including but not limited to Admissions, Registrar, Financial Aid, and Student Accounts.
  • Maintain compliance with the Family Educational Rights and Privacy Act (FERPA).
  • Create and maintain documents and spreadsheets in Microsoft Office and Excel as assigned.
10% Campus & Team Support   
  • Attend relevant meetings at KU Edwards or KU Lawrence.
  • Participate in KU Edwards department and campus meetings and trainings.
  • Participate in relevant professional development annually.

Required Qualifications

  • Bachelor’s degree.
  • One year of experience in student services at an institution of higher education.
  • One year of experience in administrative support, customer service, or related area.
  • One year of experience with CRM (constituent/customer relationship management) systems.
  • One year of experience assisting with the planning or execution of student events or supporting student engagement programming, e.g. student life, student groups, etc.
  • Effective written communication skills as evidenced by application materials.

  • Preferred Qualifications

  • Demonstrated experience working with adult, transfer, or online students in a higher education setting.
  • Previous experience with Hubspot CRM (constituent/customer relationship management) system.
  • Demonstrated experience assisting in the planning and execution of orientation, graduation, and other student events.
  • Demonstrated work experience with student records and compliance with the Family Educational Rights and Privacy Act (FERPA).
  • Familiarity or experience with KU Edwards Campus academic programs.
  • Evidence of experience working with diverse populations.
  • Evidence of strong customer service and communication skills.
  • Evidence of experience working collaboratively with other colleagues and departments.
  • Proficiency with the Microsoft Office suite, PowerPoint, and Microsoft Teams.
