JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Student Services Specialist 3 position handles all UTHSC transcript requests and degree and enrollment verification requests for the Office of Enrollment Management.

 

DUTIES AND RESPONSIBILITIES

  • Processes transcript requests, graduation attendance verifications, and scans/files Family Educational Rights and Privacy Act (FERPA) documentation.
  • Serves as a liaison between university administrators, alumni, students, parents, faculty, staff, and others regarding the Office of the Registrar's activities.
  • Assists the Associate Registrar and coordinator with updating course/section information in the student information system and the course management system.
  • Generates transcript processing, verification requests and related metrics.
  • Assists with student information system testing and troubleshooting.
  • Supports accurate and timely capture of student records utilizing document imaging software.
  • Serves as a backup school certifying official for veterans’ education benefits.
  • Works on special projects as directed by the Registrar or designee.
  • Performs other related duties as assigned.

    Qualifications

     

    MINIMUM REQUIREMENTS:  

      EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

      EXPERIENCE: Four (4) years of office experience; OR Associates Degree and two (2) years of experience. (Experience in higher education preferred).

     

    KNOWLEDGE, SKILLS, AND ABILITIES:

    • Knowledge of spreadsheets and database applications; student information system.
    • Excellent customer service, organizational; and strong computer and word processing.
    • Solid proofreading/editing, strong grammatical and writing skills, and strong written and verbal communication and diplomacy.
    • Skills in general business administration.
    • Ability to be flexible and work efficiently and effectively in a fast-paced environment.
    • Demonstrated commitment and ability to work with diverse constituencies.
    • Ability to maintain confidentiality and exercise professionalism.
