Job Description

The School of Life Sciences (SOLS) is seeking a Student Services Coordinator Senior. This position under general direction, will provide coordination of student services functions to the students enrolled in a degree program of study, supervise student worker staff, and ensure that the identified goals and objectives of the School of Life Sciences are accomplished in accordance with established priorities, standards of quality, and customer service. 

This is an in-person position based on-campus in Tempe, Arizona.

Essential Duties

  • Acts as the main point of contact for the SOLS undergraduate programs office, supervising and directing all front office operations - including supervision and oversight of undergraduate student workers.
  • Interprets program procedures, policies, goals and objectives. 
  • Counsels and confers with students providing guidance and problem resolution. 
  • Serves as the primary contact in communicating with the scheduling system administrators and assisting as scheduling backup when needed: including modifying course information, informing students of course schedule changes, and troubleshooting with university classroom scheduling. 
  • Interfaces with faculty to process and oversee various academic processes such as Academic Record Changes, Request for a Grade of Incomplete, and the input of final grades in PeopleSoft.
  • Maintains a consistent presence in the office to provide support to SOLS undergraduate programs staff including academic advising, faculty, staff, and other support personnel.
  • Monitors the Salesforce (Customer Relationship Management) system for all Undergraduate academic, faculty, and instructional support requests.
  • Maintains student records on computer-based databases including Salesforce and Peoplesoft; creates reports for administration; provides contact-point for enrolled student information. 
  • Interfaces with the SOLS Business Office for ordering and purchasing requests for the undergraduate programs staff; compile purchase invoices, create green sheets, and follow proper protocol for budget approval; communicate ordering protocols to undergraduate programs staff. 
  • Develops internal systems and materials for delivery of student services. 
  • Performs need assessment, evaluate and analyze student services' activity effectiveness; develop recommendations; implement and take appropriate action to ensure efficiencies and accuracy. 
  • Attends and participates in staff meetings, professional development opportunities, and various college and university functions.
  • Determines work priorities for student worker staff. Develops training and onboarding materials, operational processes, and various materials to facilitate high-quality student services goals. 
  • Provides support for new Undergraduate Programs staff onboarding including preparing workspaces, ordering name badges, and assisting with resources.
  • Coordinates logistics, meeting scheduling, and assists with facilitating undergraduate program events when needed. 
  • Maintains and track equipment purchased and managed by Undergraduate Programs and ensures that equipment is returned when staff or students leave the unit.
  • Liaise and communicates course- and student-specific needs with undergraduate instructional technology vendors, such as, but not limited to Labster, Cogbooks, Cambridge University Press, etc.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND four years administrative/coordinate program experience; OR, Master's degree in field appropriate to area of assignment AND two years administrative/coordinate program experience; OR, Eight years of progressively responsible administrative/ coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience with the principles and practices pertaining to Undergraduate Admissions. 
  • Demonstrated knowledge of organizational practices. Knowledge of supervisory practices and principles. 
  • Demonstrated knowledge of the principles of exemplary customer service demonstrated through actively listening, acknowledging, and responding to every inquiry; taking ownership and resolving each concern or problem as appropriate; exhibiting professionalism and expertise in every interaction and engaging in professional development to meet expectations for service excellence. 
  • Experience  in coordinating and prioritizing work and activities of self and others. 
  • Experience in planning, analyzing and coordinating activities and establishing priorities.
  • Experience in problem solving and decision making.
  • Experience in presenting materials to a diverse audience.
  • Experience in establishing and maintaining effective working relationships.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
  • This position receives regular review of objectives by department administrator.
