Job Description

The Polytechnic School (TPS) is seeking an energetic, self-motivated, customer service and team-oriented Student Services Coordinator Associate to join its Academic Advising team.  Under general directions, this person will provide administrative support to the School’s growing campus and online programs.

Essential Duties

  • Provides Customer Service/Administrative Support
  • Manages high-volume telephone, email, and customer relations management system correspondence.
  • Coordinates the flow of advising documents and maintains student files electronically.
  • Hires, trains, and supervises student worker staff.
  • Serves as back up to course scheduler in coordinating online course offerings.
  • Answers general advising questions; providing student information about policies and procedures; answering inquiries from prospective students.
  • Responds to inquiries (prospective student, current students, faculty, alumni, etc.) in a timely manner using effective interpersonal communication, critical thinking and problem-solving skills and methods as appropriate to address questions and/or concerns.
  • Provides general support and outreach activities for students as needed.
  • Attends and participates in staff meetings, professional development seminars, and as a member of various college and university committees.
  • Coordinates group advising schedule.
  • Corresponds with students in support of university initiatives.
  • Coordinates or assists with special events planning, logistics and development of student events related to recruitment and retention.
  • Creates and maintain various databases; manage electronic filing system.
  • Effectively refers students to appropriate offices/departments at ASU.
  • Works collaboratively and collegially with other academic units and service providers throughout the university and community to facilitate comprehensive student support.
  • Corresponds with students in support of university initiatives.
  • Provides feedback and input regarding improvement of delivery of student support services.
  • Uses the following software to retrieve information and manages data: Microsoft Office Suite, Salesforce Case Management, Peoplesoft, Ad Astra, internet browsers, Zoom video conferencing, among others.

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years of administrative and appropriate program experience; OR, six years of progressively responsible administrative and appropriate program experience; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience with ASU academic structure and organization, academic programs, colleges and academic departments University–wide.
  • Experience working in high-volume, fast-paced customer service higher education environment.
  • Experience in establishing and maintaining effective working relationships with peers, faculty, students, and administration.
  • Experience with demonstrating sensitivity to the needs of a diverse student population and can determine when a referral to other University resources is appropriate.
  • Ability to rapidly adapt and effectively utilize new technology, practices, policies and methods.
  • Experience in using problem-solving skills.
  • Evidence of effective verbal/written communication skills.
  • Experience with Student Services databases and Customer Service Management platforms (PeopleSoft, Salesforce, DARS, Dashboards).
  • Experience with internet-based research tools and Microsoft Office computer applications (Word, Excel, Outlook, Power Point).
  • Experience using video conferencing applications.
  • Experience with Ad Astra or another course scheduling platform.

  • Activities are primarily performed in a regular, climate-controlled office setting subject to extended period of sitting
