Department Summary
The Toulouse Graduate School, with its outstanding faculty, high

and doctoral programs in a variety of disciplines.
Position Overview
Serves as information source for students and departments regarding awards, scholarships and employment waivers, relaying policies and procedures to Graduate School awards and scholarships. Acts as liaison for graduate school with departments and students on a daily basis. Processes paperwork to appropriate departments for award distribution. Provides administrative support to Program Project Coordinator.

Minimum Qualifications
Associate’s Degree and two years of office administration experience; or any equivalent
combination of education, training and experience.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications: * Strong knowledge of scholarship and fellowship policies and procedures. * Strong working knowledge of Excel.

Job Duties


o
Task: Acts as liaison and information source for students and departments regarding scholarships and awards.
Performance Standard: Provide students with award and scholarship information and opportunities; communicate with department representatives as needed.
o
Task: Complete and submit Stipend and Authorization forms to Student Financial Aid Office.
Performance Standard: Complete and submit proper paperwork prior to each semester to Financial Aid office for processing. Finalize Tuition and Fees scholarships after Census dates on student’s accounts.
o
Task: Check enrollment status and cancel scholarships of students that do not meet requirements.
Performance Standard: Confirm whether or not students enrolled in the appropriate credit hour amount on the first day of classes and on census date; contact students who need to add courses to schedule during add/drop; cancel awards of those that do not add courses or do not meet requirements.
o
Task: Conduct a grade audit for all recipients during each semester for renewal.
Performance Standard: At the end of each semester, check GPA and make sure student is meeting departmental requirements and in good standing.
o
Task: Maintain accurate spreadsheet of all students that have received fellowship, awards and scholarships.
Performance Standard: Maintain spreadsheets and report information to Graduate School and departments as requested.
o
Task: Process Course Load Exception Forms.
Performance Standard: Process Course Load Exception Forms according to TGS guidelines; accurately notify students and advisors or representatives of the results. Defer those that do not fall under the CLE guidelines.
o
Task: Acts as liaison and information source for students and departments regarding out-of-state tuition waivers based on graduate student employment.
Performance Standard: Provide students with waiver information and opportunities; communicate with department representatives as needed.
o
Task: Process Employment Waiver Forms.
Performance Standard: Compile data to process Employment Waiver Forms properly, accurately and efficiently. Assist in conducting employment verification audits when needed.
o
Task: Assists with audit of waivers for eligibility through the census date.
Performance Standard: Audit conducted timely after census date.
o
Task: Shares expertise and ideas freely and openly and participates in enhancing coworkers’ understanding of mission and tasks.
Performance Standard: Demonstrates a commitment to teamwork and a display of a positive customer service attitude.
