The Dodge Family College of Arts and Sciences is seeking a Student Program Coordinator to join the team.  The Student Program Coordinator will provide full administrative support for the Dodge Family College of Arts and Sciences, Dean's Office, faculty and staff for the academic departments located on the Tulsa Campus. Performing task such as scheduling, grade reporting, student evaluations, correspondence, travel arrangements, collection of data, recruitment support for assigned programs, new student orientation, social media and coordinate with OU Tulsa Recruiter and PR Team. The position will also serve as a liaison with faculty, staff, students, and other departments across campus, as well as the community.  Performs various duties as needed to successfully fulfill the function of the position.

Duties:

  • Assesses the needs of students and works with department faculty to develop and implement targeted programs and services.
  • Serves as a liaison with the Office of Academic and Student Affairs in areas of the position’s responsibility.
  • Manage student application, enrollment, assessment, and graduation processes for students in department programs.
  • Assists students in resolving academic problems and helps program heads evaluate students for appropriate course enrollment.
  • Maintain records, including but not limited to inventory, personnel and other office files.
  • Maintain official student records.
  • Assists with development and administration of office policies and procedures.
  • Assists with writing and editing of CSD student and employee handbooks and onboarding materials.
  • Assists program heads in completion of reports to meet accreditation requirements.
  • Researches, collects, and analyzes data for reports or responses to inquiries. 
  • May coordinate or assist in the coordination of special projects or student related events.
  • Edits and organizes outgoing documents including dossiers for faculty awards, tenure, and promotion applications.
  • Proctors’ student examinations as needed.
  • Performs various other duties as required to successfully fulfill the function of the position.
 

Job Requirements

Education: Bachelor's degree

Equivalency/SubstitutionWill accept 48 months of equivalent experience in lieu of a Bachelor's degree.

Skills:

  • Effective verbal and written communication skills.
  • Timely and professional responses to inquiries from faculty, staff, and students
  • Strong editing skills (e.g., grammar, content organization)
  • Computer skills, including proficiency in navigating and maintaining databases, MS Office 365, Adobe Acrobat
  • Excellent attention to detail in recordkeeping and reporting
  • Excellent organizational skills and ability to handle multiple projects and deadlines.
  • Ability to follow through on assigned tasks to completion without requiring excessive reminders.
  • Ability to manage time and prioritize tasks effectively.
  • Ability to work effectively in teams to complete assigned tasks.
  • Ability to communicate well and build rapport quickly with students, faculty, and staff.

Working Conditions:

  • Sit for long periods of time. Ability to bend, lift, stoop and carry.  Ability to engage in repetitive motions.
  • Standard office environment. Frequent exposure to pressure caused by deadlines and busy periods. Ability to work effectively with a wide range of constituencies.

Departmental Preferences:

  • Experience with PeopleSoft, Zoom scheduling, MS Teams, Canvas, and/or centralized student application systems preferred
  • Excel skills with ability to build and manipulate spreadsheets
  • Ability to speak, read and write clear, concise English
  • Ability to accurately read and understand written materials and instructions
  • Detail oriented for accuracy of data and information
  • Able to produce reports and complete work within deadlines
  • Strong initiative to solve problems
  • Able to work well with interdepartmental teams and initiatives
  • Customer service
