The School of Arts and Humanities is a unique academic school at UC San Diego. Established in 1963, it encompasses six academic departments, two interdisciplinary institutes, and a wide range of interdisciplinary programs and research centers with nationally and internationally recognized faculty. The School of Arts and Humanities has over 200 senate faculty, ~180 non-senate faculty, over 100 non-student staff employees, 430 graduate students and over 200 student employees who occupy over 320,000 assignable square feet spanning 18 buildings across campus. Our undergraduate course enrollments exceed 50,000 annually with many of these students coming from other disciplines and majors across campus.

The University has implemented the Enterprise Systems Renewal (ESR) program, a multi-year initiative that will reshape the way UC San Diego does business and will transform and streamline core business and administrative processes. With input from subject matter experts from central offices and academic departments across campus, the program's focus is optimization of core business and administrative practices as the campus delivers new systems that will effectively meet the needs of our growing university.

Reporting directly to the School's Senior Data and Business Officer, incumbent utilizes skills as a seasoned, experienced professional and possesses a full understanding of analytical practices, policies, and procedures. Responsibilities include researching, analyzing, and developing solutions to a wide range of issues. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Primarily deals with policies, programs and proposals which are complex in nature and diverse in scope. Develops new programs, policies or procedures for possible implementation.

Develops training material for new systems and updates training materials as systems and policies change. Represents School in all work groups and meetings: Quarterly Academic Affairs Student Services Professional Community, SIS, priority scheduling committee, VAC 2.0, additional work groups as added by campus. Attends all campus meetings by GEPA, Labor Relations, UAAC, ODAPA, etc. Leads monthly student affairs meetings and work groups for School of Arts and Humanities and creates agenda, coordinates speakers and/or topics, takes notes, and follows up on action items after each meeting. Acts as school expert for curriculum management, eCourse submissions, curriculum proposals, course/curriculum requests to each College, and articulation entries.

Provides student data analysis support and consultation to Chief Administrative Officers and Student Affairs Advisors in departments on any questions about business processes related to student advising and funding allocation models for graduate support. Acts as backup to departments who are temporarily without an advisor and trains new student affairs staff. Acts as primary resource for systems and policy questions. Develops and maintains advising training manuals.

  • Hybrid work schedule. Overtime and weekends may be required.

  • Submission of a cover letter along with a resume is required for a complete application.

  • 2-3 years of experience in student affairs and/or student advising in a college or university setting.

  • Project management experience including writing project scope and requirements, addressing potential barriers, identifying required resources, identifying process steps and milestones, and adjusting action plans to achieve desired outcomes.

  • Strong policy analysis techniques. Demonstrated ability to assess procedures and define requirements to streamline business process and result in productivity improvement.

  • Strong working knowledge of personal computers with the ability to effectively use software for word processing, presentations, spreadsheets, email, calendaring, databases and experience working with project management software. Knowledge of computer application programs or cloud-based applications with features that include: project planning and scheduling, team collaboration, time tracking, reporting, and project budgeting. Working knowledge of reference management software programs.

  • Proven ability to conduct effective training sessions. Demonstrated ability to serve as a resource and provide accurate, detailed information to both technical and non-technical groups. Demonstrated ability to develop standard operating procedures, instructions and training material. Ability to develop communications that will be distributed broadly.

  • Strong communication and interpersonal skills to communicate effectively, both verbally and in writing. Demonstrated ability to collaborate and communicate effectively and diplomatically at all organizational levels. Ability to work effectively with a diverse population. Ability to write and speak clearly and present detailed information and analysis. Exceptional ability to write and communicate technical content effectively in a variety of mediums (web, summaries, reports, brochures, presentations, manuscripts, SOPs, etc.) and in ways appropriate to targeted audiences.

  • Analytical / problem-solving skills. Demonstrated experience working independently in unstructured projects and situations, identifying priorities, and applying creativity and originality in problem-solving in an environment with changing priorities. Proven ability to conduct research and interpret and present data. Demonstrated critical thinking and interpretive skills to analyze situations, define problems, interpret policies, identify concerns, develop and propose solutions contributing effectively to support organizational objectives.

  • Knowledge of common organization- or research-specific and other computer application programs.

  • Ability to use discretion and maintain all confidentiality. Demonstrated experience in utilizing good judgment and discretion when working with a variety of sensitive issues or highly confidential information.

  • Strong skills in analyzing, researching and synthesizing large amounts of data for preparing sound and relevant proposals / analyses. Ability to accurately interpret and implement policies and procedures and effectively communicate and disseminate information. Ability to compile data and prepare regular and ad hoc reports that present information such as the status of project milestones.

  • Ability to multi-task with demanding timeframes. Strong demonstrated organizational skills, ability to complete projects with minimal guidance, ability to process a high volume of work while under pressure and maintain the highest level of accuracy. Meet multiple deadlines with frequently shifting priorities to ensure smooth workflow.

  • Ability to provide excellent customer service and interact in a positive manner with diverse groups of people at various skill levels. Demonstrated ability to apply and model the Principles of Community in all interactions. Demonstrated competency and commitment to equity, diversity, and inclusion.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $67,200 - $119,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $32.18 - $57.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
