Position Title Student Affairs Coordinator

Position Summary
The Student Affairs Coordinator provides assistance and support to the Student Affairs Office and to the Assistant Dean for Student Affairs (ADSA). This position is primarily responsible for office management, budget tracking, student employee process, assisting with special events coordination, and special projects. The Student Affairs Coordinator reports to the Assistant Dean for Student Affairs.

Job Duties

Description of Job Duties
  • Manages the Student Affairs Office to include answering phones, faxing, filing, directing student traffic, and ensuring office supplies are stocked.
  • Assists ADSA with tracking of Student Affairs budget utilizing Banner and internal processes; provides reports on budget status regularly.
  • Coordinates student employment processes to include tracking student employee budget, reviewing student employee’s qualifications, ensuring student contracts are updated each term, and overseeing timesheets for approval.
  • Assists ADSA with graduating student programs and processes including:
    • Coordinates graduation finale, graduation luncheon, and Rosenberg School of Optometry (RSO) commencement.
    • Provides advising to students on graduation processes and procedures.
    • Assists with approval of NBEO eligibility and state licensure verifications.
    • Assists with coordination of alumni programs at state and national optometry meetings.
  • Assists ADSA with coordination of personal development programs/workshops (i.e., venue, food, class communication, speaker coordination, etc.).
  • Assists with general student resource advising via phone, email, or walk-ins.
  • Assists with special events (i.e., logistical preparations, development and delivery of special event programming, development of event materials, etc.).
  • Assists ADSA with special projects (i.e., updates to RSO Student Handbook, participation on committees, coordination of student travel, coordination of facility hour adjustments, general class communication, etc.).
  • Performs all other duties as assigned.

Knowledge Skills and Abilities
  • Strong communication and interpersonal skills.

  • Strong computer skills to include Microsoft Office (Outlook, Word, Excel, and Publisher).
  • Strong organizational skills.
  • Proficiency in managing multiple projects simultaneously.
  • Proficiency in prioritizing tasks and following up.
  • Ability to work efficiently and accurately in a fast-paced environment.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.
Required Education
Some college hours required.
Required Work Experience
At least four (4) years of office management experience in an office setting.
Preferred Qualifications
  • Previous experience in student affairs or in a higher education setting.
  • Bachelor’s Degree.
  • Previous budget management experience.

Work Hours
Work hours may vary to include some evenings and weekend with extended hours as needed to meet departmental goals.
