Job Summary: Incumbent is to accept/reject all work requests via web, telephone and walk in, e-mail, etc.. Generate all PM work orders for Facilities departments. Manage stockroom. Supervise one Purchasing Agent. Bill for any chargeable services related to work request to Facilities departments. Complete charge documents/Journal Entry Form for Financial Services related to Facility departments. Create all ledgers/Journal Entries for Stock Room Purchases, Fuel/Diesel Purchases monthly. Manage and maintain accurate key control records. Maintain all monthly records accurately.

Minimum Qualifications: A high school diploma and five years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Position Qualifications: Knowledge of computers, TMA software, Excel, Word, Gmail.
Preferred Qualifications Type 35 wpm
Essential Functions / Job Duties:
  • 85% - The incumbent is responsible for the day to day operation of facility Maintenance Office Specialist functions to include but not limited to: Accept/reject requests via phone, walk-ins, computer, and email. Distribute the work orders to the correct departments (Landscape Services, Bldg. Services, Special Events, Utilities, Water Utilities, Facility Maintenance, Arch. Engineering). Review documents and be responsible for input into the Maintenance Management System software program for tracking, and distribution to appropriate person for authorization. Print/edit maintain reports from the Maintenance Management Work Control System. Interprets established policies and procedures. Coordinates CMMS system updates and installation of new and/or additional modules. Disseminates pertinent information to Facilities Management departments and the using departments. Track work orders for accurate labor and material costs for in-house minor renovation project crews. Uses independent judgment to coordinate work requiring service of more than one department or requiring service of Facilities Planning for designing a proposed project. Prepare and maintain ledgers and Journal Entries for all stockroom purchases/billing, and all fuel/diesel purchases/billing monthly. Reconcile Vehicle Maintenance monthly ledgers for billing. Maintain accurate key control using JIRA for key request and TMA for key tracking based on SOP FDO 3.219. Monitor and reconcile the Facility Maintenance and Work Control p-card transactions. Enter needed information into TMA and Concur, check for unassigned credit card transactions, add p-card charges to expense report in Concur, run the unsubmitted expense analysis detailed report. Is the contact person in Facilities Management for status information on all work and Key request. - (Essential)
  • 10% - Supervise one Purchasing Agent to ensure the Facility Stock Rooms run efficiently and accurately. Assist in dispersing parts and equipment requested from stock room during working hours. Maintain an accurate inventory, reorder stock as required, accurately bill every month for items bought from the Stock Room. Keep accurate records/reports regarding the Facilities Stock Room. - (Essential)
