Description

Position Summary:  

The Stewardship Coordinator will support the effective stewardship and engagement of current and prospective donors, alumni, and friends, working under the guidance of the Vice President of Advancement and Director of Advancement Services.  This position adheres to business processes and control systems to achieve data governance of the University’s various constituents in accordance with campus-wide prescribed rules and standards.  Confidentiality is essential, as the incumbent will process pledges and contributions.

Other tasks include writing and preparing acknowledgement letters and other communications as necessary to further the stewardship mission, donor engagement, as well as monitoring the submissions to the department’s various Webforms and email accounts. This position will be involved in all levels of stewardship communications including working with University departments, preparing donor impact reports, perform tasks related to the department’s electronic/printed communications, donor cultivation and engagement activities, as well as special events held before or after standard business hours. The ideal candidate will use their expertise to assist in the university’s efforts to be a sustainable academic organization committed to excellence.

Essential Functions:

 

Operational Effectiveness and Efficiency

  • Works to build a culture of gratitude and ensures that donors are appreciated, informed and engaged.
  • Work with both a broad range of university-wide colleagues and external constituents and is highly service oriented.
  • Ensures pledge and contribution transactions are accurately processed and acknowledged, in adherence to prescribed timelines and applicable institutional and federal specifications or restrictions.

Stewardship and Communications 

  • Assists with activities related to stewardship and donor engagement and recognition strategies, solicitation and cultivation efforts, and electronic and printed communications.
  • Assist with compiling data, planning, organizing and execution of stewardship projects and events
  • Provides administrative support to members of the team and works in collaboration to support the stewardship efforts of the office and build strong partnerships with BU leadership
  • Keeps apprised of developments affecting the department’s donor engagement and social media activities and provides recommendations for additional recognition and establishes priorities to improve existing capabilities.
  • Monitors and composes replies to the department’s email accounts and Webform submissions

Technological Proficiency 

  • Participates in inter-departmental collaborations to analyze existing procedures to design strategies to improve or leverage vendor; online, and in-house resources to efficiently and accurately maintain academic, biographic, demographic, and/or financial information for all University constituents; such as current and former students, current and former donors, faculty and staff members, corporate partners, and external organizations.
  • Collects and reports on stewardship analytics.

Office Ambassador 

  • Provides outstanding customer service consistent with the department’s mission to all internal and external clients.
  • Builds strong partnerships with University leadership, the academic units, other University departments.
  • Responds to external requests for information, materials, and assistance
  • Support projects, events, and processes at all levels in respond to the needs of the overall team.

Skills & Abilities:

Education: 

  • High School diploma or equivalent required, College degree preferred.

Experience:

  • Minimum of five (5) years administrative support, relationship building, and superior customer service.

  • Must be able to handle multiple tasks simultaneously, while producing timely quality work.
  • Strong written, verbal, and interpersonal communication skills required.
  • Able to work independently and as part of a team.
  • Able to initiate and complete projects and provide donor support with little supervision while exercising good judgment.
  • Ability to interact effectively with Board Members, donors, alumni, civic leaders, vendors and university personnel at all levels.
  • Customer focused, with the ability to gather information, research concerns and resolve issues.
  • Strong organizational skills, self-confidence, assertiveness, diplomacy and professionalism to interface effectively in varied situations with persons from diverse educational and professional backgrounds.
  • Requires the ability to maintain strict level of confidentiality in the handling of account and donor information.

Computer Skills

  • Strong working knowledge of Microsoft Office software and database systems required.
