Department Description

The UC Davis Student Housing and Dining Services, Office of Student Development unit is responsible for the coordination and implementation of the undergraduate Orientation program for new first-year and transfer students. Student Housing and Dining Services (SHDS) is a self-supporting auxiliary that provides housing and dining services to approximately 15,000 undergraduate, graduate, and students with families who live in on-campus residential facilities (university owned/managed and Public-Private-Partnerships), as well as providing residential, retail and catering dining services for the campus community. Position provides program analysis, fiscal, operational, communication & customer service for UC Davis Orientation (9600+ students & families annually), including as liaison for all Colleges, Finance, Operation & Administration (FOA) & Student Affairs. Position also provides business office staff supervision and training.



Job Summary

Under primary supervision of the Associate Director, responsible for the day-to-day oversight of operations, business, communication & customer service aspects of Orientation, including direct supervision of administrative employees. Manages the customer service, communication strategies & efforts, reporting, processing of fees, tracking payroll & expenditures, and student data for Orientation. High level analyst, project manager, who resolves problems, interprets policies (e.g., fiscal management, HR, contracts, resources) & helps develop, implement & articulate processes, policies, and systems. Engages in DEI & data-driven decision-making in partnership with supervisors. Assists with planning and executing large-scale events & logistics aligned with best practices from NODA & OTR orgs. Exercises professional judgement within defined procedures and policies to determine appropriate action. Supervises staff to determine goals and ensure accountability for performance expectations and stewardship of student fees and program/department resources in compliance with policies and objectives. Oversees customer service, communication, dining, key/access controls, facilities related to program. Hires, develops and evaluates personnel including performance management and recommending awards & terminations. Oversees and participates in complex projects and initiatives, reports, assessment, data mining. Administers and manages program fees, student payroll, expenditures & makes budgetary recommendations to supervisor. Collaborates directly with internal and external stakeholders/colleges; exercises appropriate political acumen & effective communication. Position requires extensive expertise in project management, analysis, budgetary planning, and a strong background in hiring, training, supervision & conflict management. Position has delegated authority to represent Orientation & provide consultation to the campus on matters of Orientation.

PHYSICAL DEMANDS

  • Stand, walk and move about long distances on the extensive campus grounds and building facilities at various events.
  • Office area located near shared/common space with students, professional staff, visitor traffic and noise from on-going meetings, telephone conversations, etc.
  • Full time position. Must be able to work occasional overtime, evenings and varied lunch hours to meet operational needs. Work occasional weekends and holidays. Work may include a hybrid schedule as well as in and out-of-state travel.
  • Work hours will vary with program needs. Must be able to work flexible hours during peak Orientation events, specifically Aggie Orientation program as follows: September/October: Mon-Fri, as early as 6:30AM and as late as 10:00PM
  • Restricted vacation during fall orientation (August – October).
  • Work and travel in extreme temperatures during orientation.

WORK ENVIRONMENT

  • Travel to and from meeting venues and client sites on and off campus.
  • Due to the services provided by this department, this position may work hours other than M-F 8-5, especially during special events, or in response to system problems.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:           

  • Bachelor’s degree in a related field and minimum 2 years, fulltime experience, in a university environment, in supervision/leadership to recruit, hire, train, assign and direct work, motivate, evaluate performance, ensure performance accountability and otherwise discipline employees (promote, layoff, discharge).
  • Experience demonstrating effective project management skills to identify, map, organize, plan and prioritize tasks, timelines & projects with minimal direction; skills to delegate, coach employees with work & effectively complete tasks under pressure of deadlines, heavy meeting schedules & uneven time constraints in a fast-paced, high-volume environment.
  • Experience performing high-level critical thinking and analytical work, compiling, synthesizing, analyzing complex information, communicating large quantities of complex data and materials to facilitate decision making and making strategic recommendations.
  • Experience demonstrating problem-solving skills to anticipate, identify, evaluate & resolve difficult issues, including policy & personnel decisions, programs, information & concerns to determine options for action, initiate creative & timely responses and provide high-level customer service.
  • Experience demonstrating interpersonal & diplomatic communication across teams and settings, in person and using various technologies (email, Zoom, chat), using multicultural competencies to interact with stakeholders from diverse backgrounds, to positively & effectively, affect partnerships, communication & service, and navigate political complexities of higher education setting.
  • Experience utilizing various technologies Microsoft Office Suite (Outlook, Excel, PowerPoint), Qualtrics, Google platform, and familiarity with university applications (such as Banner, Zoom, Aggie Travel, Box) and budgetary systems (such as Aggie Enterprise, chart of accounts, etc.).
  • Experience abiding by and enforcing FERPA, state laws, university policies & other general laws applicable to student enrollment, privacy/confidentiality & academic policies; demonstrating awareness of risk management procedures.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:           

  • A Master’s degree in college student personnel, higher education administration, or a related field; or business administration, project management; or an equivalent combination of education & experience, including knowledge of university level student affairs programs and transition issues of new students.
  • Experience working in a customer service-driven office environment, with knowledge of principles & practices of analysis & business management in a higher education setting to manage & oversee operational resources effectively & ethically, including financial & staff resources.
  • Experience hiring, training, supervising & evaluating employees, and effectively delivering presentations, facilitating group meetings & training programs.
  • Demonstrated experience attending to detail to process & reconcile fees, recognize & correct discrepancies, proofreading/editing skills to keep accurate & detailed records; written communication skills to effectively write in a clear, accurate and compelling manner; compose/edit a variety of print & online communications.
