Department Description

The Hart Interdisciplinary Programs Cluster is within the College of Letters and Science on the UC Davis campus. The cluster provides administrative support for the following departments and programs: African American and African Studies, American Studies, Asian American Studies, Chicana/o Studies, Native American Studies, and Gender, Sexuality, and Women’s Studies.

The cluster also provides support to the C.N. Gorman Museum, the Cultural Studies Graduate Group, and various research clusters.

This position provides direct management and advising for the Native American Studies Graduate Student Program. It is also responsible for providing administrative support the Native American Studies Department.



Job Summary

Under general supervision of the CAO, independently serve as the advisor for the Graduate Student Program (M.A., Ph.D., and Designated Emphasis programs) for Native American Studies (NAS). Responsible for advising, recruitment, admissions and financial management, program development and institutional support to students and faculty.

Provide comprehensive, advanced academic advising on a wide range of often complex issues to graduate students. Interpret and implement policies and administer graduate student activities for the department. Work with faculty on program development of graduate program policies and procedures. Provide analytical and administrative and confidential support to chair and faculty. Plan, manage and implement all aspects of graduate student recruitment (on and off campus.)

Serve as the point of contact for the Native American Studies Dept. Provide PTAs and CRNs, advising of course requirements (majors and minors) and course planning. Provide administration support to faculty on courses issues, academic petitions, room and equipment reservations, outreach programs and event planning. Oversee teaching assistants and associate instructors’ selection process. Supervise administrative undergraduate student assistants.

Serve as primary resource for students, faculty, and general public. Manage day to day administration functions of the department. Assist with content of department webpage and bulletin boards. Organize visits for guests to the department, students, and faculty. Assist department with annual events such as Fall Welcome, Preview/Decision Day, Welcome Week, Commencement and Orientation activities, graduate students’ symposium, brown bag series.

PHYSICAL DEMANDS

  • Physical Demands: Sit at desk and computer for extended periods of time.
  • Lifting Requirements: Position requires lifting of recruitment/outreach materials and/or office supplies up to 25lbs. Moving mobile conference room tables and chairs as needed for various activities/presentations.

WORK ENVIRONMENT

·         Work in a busy environment with frequent interruptions and under the pressure of deadlines.

·         Occasional overtime on weekdays and weekends, with supervisor’s pre-approval.

·         Limited or restricted vacation during peak advising and admissions periods and other critical programmatic deadlines.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

·         Experience providing confidential / FERPA / Privacy Act -compliant advising and referral on a wide range of complex academic and/or personal issues for grad students in a higher education setting.

·         Experience in time management and organization to fulfill overlapping support requests including, but not limited to, event coordination.

·         Experience writing, editing, and proofreading communications to applicants, students, and faculty.

Minimum Knowledge, Skills, and Abilities (KSA):

·         Analytical skills to understand, interpret, and apply a wide variety of University and Program policies and procedures for faculty, grad students, and staff.

·         Skills to prepare and monitor budgets related to student support, recruitment activities, events, and block grant funds.

·         Skills to collect and analyze statistics, create summary reports, and track student progress and enrollment trends.

·         Interpersonal, customer service and communication skills to interact with applicants, faculty, staff, students, campus offices, and outside organizations.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:  

·         Experience using UC’s student information systems including BANNER, Grad Track$, Grad Applications Review Database, Grad Student Location Inventory (GSLI), Integrated Curriculum Management System (ICMS), other Office of Graduate Studies web-based tools.

·         Experience using UC’s financial support systems including Kuali Financial System (KFS), KFS Decision Support, AggieBuy, AggieTravel, and other campus web-based tools.

Preferred Knowledge, Skills, and Abilities (KSA):

·         Knowledge of Non-Resident Tuition policy, diversion forms, and timelines.

·         Knowledge of UC’s BX union contract to ensure compliance and follow appointment procedures.

·         Skills to supervise student staff.
