Job Summary

Supervise and coordinate daily and seasonal activities of the Duke Store’s Course Materials Service Center and the Divinity Bookshop. Ensure excellent customer service including initiating and supporting proper conduct and procedures to efficiently serve all customers. This position, in collaboration with our vendor partners’ campus liaison, assists departmental chairs, faculty, and academic departmental coordinators in all aspects of the online adoption process through various online tools.

Responsibilities

Supervise and serve in the Course Materials Service Center located within Duke Stores to ensure proper staffing to accommodate in-person customer service requests from Duke University faculty and students with respect to course materials services including but not limited to the following:

• Assisting faculty with adoption services

• Assisting students with course material pick-ups

• Assisting students with ordering course materials

Support the marketing and the use of the Course Materials Adoption Tool by Duke Faculty. Collaborate with vendor partner Faculty Liaison to formulate strategies to encourage the on-time submission of course materials with adoptions.

Interview, hire, and ensure that seasonal temporary and student staff are trained on vendor partner’s software.

Ensure that the information on our vendor partner’s Textbook website is current.

Work with store staff to oversee the staging process of Textbook orders at the appropriate student pickup points such as Duke Store’s main location in the Bryan Center, Divinity Bookshop, and Medical Center Bookstore.

Work with store management to develop and maintain an annual operational calendar to include critical dates for Textbook order distribution along with other key dates/events for Duke University Stores and the university overall. Use this calendar as a tool for staff scheduling, planning for back-to-school textbook distribution requirements, coordination with IT, and our vendor partner.

Keep Associate General Manager apprised of current operational statuses of the Course Materials Service Center and advise of any customer or personnel problems or issues.

Coordinate the operations of the Divinity Bookshop. Keep assigned store stocked with merchandise; order stocked merchandise from the University Store, the Duke Stores Distribution Center, Gothic Bookshop, and the Lobby Shop in sufficient quantity to meet customer demand. Organize merchandise on sales floor in a systematic, attractive, and easily accessible manner to reflect the special and on-going events at the Divinity School.

Coordinate, supervise, train, and schedule Student and Temporary Staff: Oversee the scheduling and use of student and temporary staff in the Gothic Bookshop, Divinity Bookshop, and Course Materials Service Center. Gothic Bookshop: Support the marketing and merchandising efforts of the Gothic Bookshop. Perform other related duties incidental to the work described herein.


Minimum Qualifications

Education

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.

Experience

Work generally requires four years of clerical or research experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE to acquire strong skills in administrative or project research responsibilities as well as accepted office management, communications and research practices. A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.
