Minimum Hiring Annual Salary:

$51,580.00

Maximum Hiring Annual Salary:

$54,159.00

To attain the maximum annual salary, employee must meet all minimum qualifications plus:

  • 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.

The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

This position provides administrative coordination and supervision of the campus for the purpose to support to the academic leadership, the Executive Campus Director, faculty, staff and students of the Aims Loveland campus. This position serves as office manager assuring that all administrative, fiscal, physical, and scheduling services of the Loveland campus are working correctly and congruently with high-quality customer service and consistent internal and external communication. This position acts as office liaison to staff and administrators reporting to other areas within the unit, assists with community visitors to the campus, and represents the Executive Campus Director's office in interactions with other divisions and departments within the college.

Office Management/Administrative Support:

  • Management of the Aims Loveland Campus front desk staff, temporary employees and student employees providing supervision and coordination of ongoing training to ensure all can assist and inform prospective, current and non-credit students, faculty, staff, and community members about enrollment processes, course schedule, Pathway advising appointments, and Aims resources.
  • Refers student to appropriate resources on and off campus resources based on needs and course selection using various resources and tools including Workday, MyAims Accounts etc.
  • Report and release accurate student information in accordance with FERPA guidelines.
  • Research, data collection, report generation, and record keeping.
  • Supervision and training of staff in assistance with report generation. i.e. budget reports, record of spending, enrollment reports
  • Schedule all classrooms and handle special requests for rooms and other Aims events.
  • Schedule interdepartmental meetings for Loveland Campus team
  • Take minutes and management of minutes for staff meetings and other meetings as assigned.

Continuing Education Support:

  • In coordination with the Continuing Education department, provide Lumens registration software supervision, support and provide ongoing training for front desk staff and student employees to assist all Aims non-credit students with registration and cancellation of courses and refunds/general inquiries/problem solve either in-person, over the phone or with email correspondence.
  • Communicates with the CE instructors regarding student questions.
  • Schedule all classrooms for non-credit course offerings and other Aims events.

Budget:

  • Assist Executive Director with developing, monitoring and revising the Continuing Education Program Budget.
  • Assist Executive Director with developing, monitoring and revising the Loveland Campus Program Budget.
  • Manage departmentally purchasing card and reconciliation of purchases.
  • Review, approve and route Temporary Workers and Student Employees time sheets.
  • Independent Contractors Invoicing.
  • Maintain supply inventory for office supplies and college promotional items.
  • Generate and process Limited Purchase Orders and Requisitions on Executive Director signatures.
  • Process and obtain signatures for requests for contract approval processing, expense transfers, reprographic orders and all other paperwork that directly affects both budgets.
  • This position assists the CE Director and a Case Manager with research/enrolling/invoicing a client with Third Party Funding (Workforce Development Program: Weld, Larimer, and Boulder Counties) into and Ed2Go class.

Other Duties as Assigned:

  • This position represents the Campus and CE in the Aims Staff Association (ASA) and Customer Service Coalition CSC; and provides reciprocal communication between ASA, CSC and departments.
  • This position represents the campus as a Building Coordinator with Aims Safety and assists with coordinating and implementing safety practices for the Loveland Campus building.
  • Assist with campus and CE event sponsorships off campus with coordination of staff schedules and representation at events - occasional evenings and weekends.

Minimum Qualifications:

  • Associate's Degree in related field; plus,
  • Five (5) years of related office experience or an equivalent combination of education and/or work experience.
  • Excellent oral and written interpersonal and communication skills. '
  • Ability to think critically and perform job duties effectively without close supervision.
  • Skilled in developing policies and procedures and performing advanced research, organizing resources and establishing priorities.
  • Demonstrable experience with Microsoft Office Products and Google Suite.
  • Scheduling experience: meetings, classrooms for courses, services, resupply of inventory for e.g.
  • Upon hire, obtain Notary Public certification.
  • Upon hire, obtain Accuplacer Administrator Certified.
  • This position requires the use of a company vehicle and/or personal vehicle for business travel. The selected candidate must successfully pass an MVR and be insurable under Aims insurance.

Required Licenses and/or Certification:

  • Upon hire, obtain Notary Public certification.
  • Upon hire, obtain Accuplacer Administrator Certified.

Preferred Qualifications:

  • Bachelor's Degree in related field.
  • Supervisory experience. This role will supervise contingent and student employees.
  • Higher Education or secondary education work experience.
  • Problem solving skills.
  • Attention to details.
  • CRM experience.
  • Report generation: Requisitions, Purchase Orders, Expense Reports, Budget to Actuals, Inventory.
