Occupational Summary

Perfo rm responsible administrative/ front desk duties of a complex and confid ential nature in support of major research departmental or divisional ac tivities in the Clinical and Translational Science Institute (CTSI) Clin ical Research Office in Kannapolis, N.C.

< strong>Work Performed

Open and close the clinical researc h study office according to operating procedures. Screen and route mail and documents; determine which to respond to or which to bring to superv isor's attention based on content of communication and broad knowledge o f departmental programs and activities. Manage the main office line and several research study email inboxes, triaging questions and information to study team leads.

Organize and maintain divisional or departme ntal files of records, reports and correspondence required for reference and efficient operation of division or department; maintain up-to-date management and procedural manuals, directives and related records; inter pret new directives, policies and regulations and inform appropriate per sonnel of changes.

Work with study teams and financial personnel t o order general office supplies as well as materials required for study related activities.

Assist in preparing complex reports and propos als requiring the identification of sources, compilation, analysis and e valuation of data.

Review reports received for supervisor; check a nd compare with source documents and bring significant items, changes, e rrors or omissions to the attention of the supervisor.

Assist in t he preparation of complex and diversified departmental or divisional bud gets making recommendations and projections based on knowledge of progra m activities and research operations. Create and update spreadsheets rel ated to administrative ordering/re-supply, personnel training, equipment maintenance etc. Demonstrate basic/intermediate knowledge of Outlook an dMicrosoft products (Word/Excel). Learn new technology to support opera tions, as needed.

Compose letters and statements independently req uiring interpretation and application of departmental policies, procedur es, rules and regulations.

Takeand transcribe dictation; type let ters, reports and records ensuring grammatical accuracy, conformance wit h general policy and factual correctness.

Able to follow and adher e study operating procedures (SOPs/MOPs) to schedule/ re-schedule partic ipants under supervision for research study visits. Work with study team s to assist with recruitment as outlined by study protocols. Knowledge o f Good Clinical Practice (GCP) guidelines to ensure participant privacy and confidentiality of research data.

Schedule and coordinate arra ngements for community engagement/retention events; including seminars a nd conferences, and establish appointments, meetings and speaking engage ments for supervisor; attend meetings to take minutes, provide informati on and serve as a resource person; interview callers; answer questions c oncerning departmental or divisional activities and transmit instruction s and/or information to and from staff members; serve as liaison with ad ministrative personnel and external agencies concerning University polic ies and procedures, grant administration and budgetary preparation and c ontrol.

Effectively communicate with study participants, colleague s, Sponsors and stakeholders through excellent written and verbal communication. Demonstrate an understanding of the value of study participants through outstanding customer service

Advise and direct secretaria l, clerical or other personnel in the department or division; make work assignments and review work for accuracy and completeness. Perform other related duties incidental to the work described herein.
