ORGANIZATIONAL SUMMARY:
The Counseling Center is a critical component of Student Success at the University of South Florida, located in beautiful Tampa Bay on Florida's spectacular west coast.  The Counseling Center strives to support the mental health and well-being of the 44,000 enrolled graduate and undergraduate students at the USF Tampa campus.  Through the provision of high quality clinical services and evidenced-based practice, innovative outreach, consultation, and education, the Counseling Center is recognized and valued for its contribution to the success of an exceptionally diverse student body. The Counseling Center, with a dedicated, energetic, and motivated team of 30 multidisciplinary professionals including licensed psychologists, licensed mental health counselors, licensed clinical social workers, licensed marriage and family therapists, and administrative support personnel is accredited by IACS and has an APA-accredited doctoral internship and APPIC affiliated post-doctoral fellowships. The Counseling Center is committed to a team approach to client care across all staff.  With a thriving and growing group therapy program, interdisciplinary training programs, and ongoing consultation opportunities, the Counseling Center is seeking a case manager/staff assistant with a commitment to excellent customer service, knowledge of referral processes, an appreciation for diversity, and who would enhance the diversity and resources of our staff.
POSITION SUMMARY:
This position provides support for the Administrative Specialist with clerical tasks and special projects related to the clinical, training, and administrative functioning of the center. The Staff Assistant also helps the Client Services Assistant with managing client flow through the Center, and scheduling for clients and clinicians.
RESPONSIBILITIES:
Assists Client Services Assistant with: greeting, directing, and providing relevant information to clients and others who enter the Counseling Center; managing multiple phone lines, distributing phone messages, and transferring calls; alerting clinicians and the Leadership Team of client needs that require more immediate attention; scheduling client appointments and sending out appointment reminders; and tasks associated with opening and closing the Counseling Center.
Assists Clinical Administrative Specialist with: clinical record requests and maintaining clinical records; ordering supplies, updating departmental policies and procedures; special projects related to training recruitment, selection, and orientation; and special projects related to the clinical and outreach functioning of the Center.
Staff/Office support: updates forms as needed, coordinates supply room storage, sends/distributes office mail, initiates tickets for IT/Facilities concerns/issues, maintains center computer inventory, assists with coordinating office moves, maintains supply and copy room.
Coordinates tasks related to employee orientation, including coordinating on-campus interview schedules, providing tour of the office space and use of office equipment; sets up offices for new employees. Updates relevant lists and organizational charts with new employee information.
Produces documents, maintains spreadsheets, creates power points, and other special projects related to the functions of the Counseling Center.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis. Testing may be required to assess competency on word processing software.
SPECIAL SKILLS/TRAINING:
Knowledge of HIPAA and confidentiality/privacy rules; time management; basic competency in Word, Excel, Power Point, and Microsoft Teams.  Knowledge of standard referral practices and procedures.
