Job Description
The Staff and Faculty Affairs Assistant Director serves as a key member of the Dean’s Office in the College of Engineering. Reporting to the college’s Senior Director of Finance and Administration and operating in support of the college and the Dean’s strategic vision, the Staff and Faculty Affairs Assistant Director performs essential responsibilities and provides critical support to processes revolving around staff administration and faculty affairs.
FACULTY AFFAIRS: • Advises college and departmental stakeholders on procedural requirements for regular and nonregular faculty appointment, reappointment, promotion, and tenure cases and ensures that packages are complete, accurate, and in alignment with the Academic Articles prior to the Dean’s review 
• Drafts and/or reviews communications prepared on behalf of the Dean for inclusion in appointment and RPT packages and other associated letters/memos related to faculty affairs and ensures timely and appropriate communication from the Dean’s Office to departments/stakeholders on process timelines and required deliverables throughout the year 
• Liaises with relevant University departments to ensure that appointment nuances and/or unique circumstances are handled appropriately and fully documented when necessary 
• Provides systems (e.g. Onbase and Interfolio) and procedural training and guidance to the Dean’s Administrator and Department Administrators on matters related to faculty appointments and affairs and makes recommendations on enhancements to processes conducted within COE 
• Creates and disseminates resources that may be used to facilitate the onboarding of new faculty at the college-level and within departments, along with various other supplementary materials intended to support the faculty lifecycle and departmental processing of related milestones
STAFF AFFAIRS
• Spearheads initiatives to enhance the transparency and structure of staff positions within the college to increase collaboration and potential intercollege sharing of insights/best practices 
• Serves as a resource on HR issues, in alignment with University policies and procedures; as appropriate, escalates significant matters to Senior Director and/or HRC 
• Meets with new hires within Engineering to enhance their onboarding experience; performs exit interviews and provides recommendations to the Senior Director and Dean on strategies to enhance retention 
• Leads efforts to create additional resources for onboarding and offboarding, along with potential peer-to-peer connections to support staff culture and connections 
• Liaises with Staff Engagement and Culture Committee to understand opportunities for enhanced excellence in staff recruitment, retention, recognition, and engagement and provides college-level guidance/support as required 
• Provides guidance and best practices to hiring managers on the staff search process, from drafting the position description to reviewing candidates to interviewing and assessing against defined criteria for hiring success 
• Drafts communications related to HR initiatives within Engineering and in support of related initiatives at the University level (e.g. performance management in Endeavor, ND Voice, required training and professional development, etc.)
GENERAL ADMINISTRATION
• Compiles, reviews, and analyzes data and prepares reports and/or presentations to help inform decision-making related to faculty appointments and/or staffing 
• Represents the College of Engineering as needed, in relation to staff and faculty affairs matters that fall under the scope of this position 
• Supervises the college’s Events and Operations Specialist 
• Provides leadership and/or support for other special projects and initiatives related to the effective functioning of administrative operations 
• Performs other related responsibilities, as assigned
Minimum Qualifications
  • Associates degree or up to 3 years of college or technical school
  • At least 3 years of experience, preferably in an academic environment
  • Experience with faculty appointments, reappointments, and promotions
  • Experience leading or supporting HR-related activities
  • Effective verbal and written communicator with strong relationship building skills, along with a desire to build and maintain relationships across the Engineering community
  • Collaborates well with a diverse set of stakeholders, demonstrating professionalism and ensuring strict adherence to maintaining confidentiality when appropriate
  • Well-organized, with excellent attention to detail and project management skills
  • Works effectively both independently and as a member of a team
Preferred Qualifications
Bachelor’s degree strongly preferred, but candidates with additional experience for that duration may be considered if they meet the other critical skills of this position
