Job-Specific Responsibilities

Harvard University’s Talent Acquisition and Diversity team has an exciting opportunity for a Talent Acquisition Project Manager. Reporting to the Director of Talent Acquisition & Diversity, the Talent Acquisition Project Manager is responsible for the design, implementation, and execution of external talent management initiatives and recruitment programs throughout the university. The role requires an individual who is an independent thinker and can manage multiple competing and complex priorities. Additionally, the role requires someone who can manage relationships and expectations of senior-level and executive stakeholders. This individual collaborates with internal stakeholders and other community partners as the project manager driving operational efficiency and seeking opportunities for enhancement.

Harvard Careers & System Vendor Management :

  • Manage the university-wide Applicant Tracking System (ATS) in collaboration with stakeholders; lead regular business reviews with recruitment stakeholders.
  • Collaborate closely with IT that supports the ATS to analyze, troubleshoot, and recommend system workflow solutions to enhance operational effectiveness and compliance.
  • Serve as help-desk manager for training and communication for recruiters across the university, advising on all technical inquiries and functional questions, as needed.
  • Manage relationships with recruitment technology vendors to ensure operational efficiency; review system enhancements and initiate and manage new projects to improve functionality.
Recruitment Governance Committees:
  • Lead and facilitate the university-wide ATS recruitment committee to communicate university business goals and priorities for recruiting, present the system roadmap, discuss enhancements to support the goals, and gain agreement from the group on priorities.
  • In partnership with the Director of Talent Acquisition and Diversity, chair the university recruitment governance committee to understand the needs of the schools, assess the feasibility, and develop and implement an effective solution.
Recruitment and Compliance Best Practices:
  • Partner closely with the Director of Affirmative Action and Diversity Analytics and other members of Harvard Human Resources to develop consistent and compliant documentation for university recruitment strategies and good faith efforts.
  • Consult with schools and units on recruiting processes, best practices, and process improvements
Contingent Workforce Program:
  • Serve as part of Harvard Human Resources’ central program team responsible for oversight of the university’s Contingent Workforce Program in partnership with the university’s Managed Service Provider (MSP), DZConneX.
  • Operate as the functional and business subject matter expert by monitoring program performance and making day-to-day operational decisions in partnership with the MSP.
  • Maintain program assets, including business policies, general guidelines, and FAQs with appropriate stakeholders including but not limited to finance, IT, and HR.
University Programs & Initiatives

:

  • Serve as the team’s project management and operations lead, including the management of department programs and committees, overall communications and reports, and change management.
  • Provide operational support to university programs and initiatives; oversee meeting preparation, development of meeting materials, budgets as appropriate, and other tasks as identified.
  • Manage program activities for external talent pipeline programs in accordance with established organizational goals and schedules including but not limited to the Summer Youth Employment Program (SYEP).
  • Partner with internal stakeholders to coordinate the logistics and delivery of various university programs.

Typical Core Duties

  • Conduct needs assessments and design, organize, develop, administer and manage activities to align with organizational goals
  • Maintain and enhance existing programs; collaborate with managers to diagnose and resolve issues
  • Identify issues and possible resolutions, and pursue all necessary follow-up on key project tasks
  • Support HR Consultants by sharing tools, resources and best practices for different HR programs
  • Recommend options to adjust project priorities to optimize resources
  • Generate program analytics and reports to management and senior HR to aid decision-making
  • Draft communications, reports and/or presentations
  • Provide training to clients/staff
  • Function as subject matter expert or project lead
  • May proactively identify prospective value adding initiatives for the HR community
  • May convene local and/or university-wide various cohorts to facilitate the identification and sharing of best practices
  • May serve as a back-up point of contact for HR Consultants as needed
  • Ensure compliance with University Human Resources policies, procedures, and requirements and applicable legal regulations

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 7 years’ relevant HR experience
  • Project and/or program management experience

Additional Qualifications and Skills

  • Advanced communication skills, both written and verbal, with the ability to take large amounts of information and transform into business-facing presentations
  • Strong relationship building skills across highly matrixed organizations
  • Demonstrated skill in partnering with stakeholders with differing priorities to gather insights, data, and feedback and translating the information into actionable initiatives
  • Proven ability to manage a project and/or program from initial concept through to implementation and delivery
  • Experience owning projects and key deliverables autonomously 
  • Demonstrated experience leading large-scale initiatives, including process and system implementations
  • Advanced skills in Microsoft Word, Excel, and PowerPoint
  • Knowledge of HRIS applications and analytics with hands on experience using applicant tracking systems preferred
  • Knowledge of employment law and HR policies and practices preferred; financial/business acumen
  • Preferred experience in recruiting operations with the ability to document and automate manual processes

This position will be based in Cambridge, MA. Due to the COVID-19 pandemic, you will begin your work remotely. All remote work must be performed in a state in which Harvard is registered to do business (CA, CT, MA, MD, ME, NH, NY, RI, and VT). The fully remote nature of this job is only temporary. Once the University and your supervisor determine that it is appropriate, in-person on-campus work will be required as a condition of continued employment. CWD is currently developing hybrid workplace models which will actively support some remote work (within a state in which Harvard is registered to do business) where business and team needs allow.
