Department Specific Functions

  • Collaborate closely with the Event Coordinator and Marketing Manager to ensure the successful promotion of activities.
  • Assists in evaluating, coordinating, writing, and proof-reading material for the organization, in addition to assist in the creation and design.

Core Job Functions                                                                                           

  • Assists with the assignment of tasks to internal teams to include schedule management.
  • Assists with budget preparation and tracks all project related expenditures.
  • Monitors project progress and addresses any issues that arise.
  • Assists with the identification of completion shortfalls.
  • Acts as the point of contact and communicates the project status to relevant stakeholders.
  • Communicates timeline changes and new information to project team.
  • Maintains familiarity with departmental programs and projects and reaches out to faculty/staff to acquire information, gather content to showcase and promote work.
  • Creates and maintains comprehensive project documentation, plans and reports.
  • Ensures all needed documentation is current and properly filed and stored.
  • Contributes to the production of school-branded digital and printed publications by assisting with writing, photography, graphic design, printing and email distribution.
  • Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
  • Organizes, attends and participates in project meetings.
  • Prepares necessary presentation materials for project meetings.
  • Records minutes and takes detailed notes during meetings.
  • Manage the organization of promotional/communication assets, including design files, informational/background files, subject/source files, content and media libraries (video/photo files), and also handle editing and utilization of digital media.
  • Adheres to University and unit-level policy and procedures and safeguards University assets.

Minimum Qualifications                                                                              

Education:

High school diploma or equivalent

Experience:

Minimum 3 years of relevant experience. Any relevant education, certifications and/or work experience may be considered.

Knowledge, Skills and Attitudes:

  • Exceptional verbal and written communication abilities to effectively convey ideas and information.
  • Proficient in writing, copy-editing, and proofreading to ensure high-quality content production.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) is essential for this role.
  • Proficiency with Adobe Creative Suite (Photoshop, Illustrator, InDesign) is required for graphic design tasks.
  • Familiarity with video editing software such as Premiere Pro, After Effects, iMovie, or Final Cut is preferred.
  • Knowledge of Associated Press (AP) style guidelines is a plus.
  • Prior experience in project management is advantageous but not mandatory.
  • Excellent time management skills with the ability to handle multiple tasks and deadlines simultaneously.
  • Strong attention to detail to ensure accuracy and precision in all tasks.
  • Demonstrated ability to manage conflicting priorities efficiently.
  • Ability to handle difficult and stressful situations with professionalism and composure.
  • Strong interpersonal skills to establish and maintain effective working relationships with colleagues and stakeholders.
  • Willingness and ability to understand and follow instructions while adapting to evolving requirements.
