Job Summary

Reporting to the Director of Management and Leadership Development, in the Center for Workplace Development, this position provides program coordination, enrollment, and customer service support on campus and virtually for the five programs that comprise the Harvard Leadership Development Program, along with other key programs and initiatives across the Center for Workplace Development. The programs and initiatives supported by this position are designed for a variety of audiences and provide an opportunity to work with Harvard employees at all levels.

The Management and Leadership Development team provides Harvard’s 3500+ managers with training and resources to learn and practice the skills needed to be effective in a dynamic and evolving work environment and develops leaders at all levels through the Harvard Leadership Development Program which hosts approximately 300 participants across five programs annually.


Position Description

  • Provides primary customer service support for the Harvard Leadership Development Program; manage inbox; respond to inquiries from human resources partners, nominees, and interested employees; respond to inquiries in a timely manner directly, or through close collaboration with CWD colleagues and partners in schools/units; in consultation with program managers, correspond with human resources partners about nominations and space availability.
  • Serves as the principal contact for the Harvard Leadership Development Program enrollment process; receive, review, and process applications; reconcile eligibility and enrollment concerns and questions.
  • Orders, prepares, and distributes program materials for multiple programs; updates program materials and assists with creating accessible documents in accordance with Harvard’s policy.
  • Moderates and provides technical assistance to virtual and hybrid Harvard Leadership Development Program and other offerings; supports on campus programs.
  • Partners with the Director of Management and Leadership Development to spearhead the annual HLDP planning process; create enrollment materials and collateral for program managers, human resources, nominees, and nominators; coordinate catering, and reserve rooms.
  • Schedules program dates annually for the Administrative Fellows Program, Talent Development Program, and Harvard Leadership Development Program.
  • Coordinates Bridge Program enrollments, release time, communications, and assessments.
  • Coordinates assessments; for the Harvard Leadership Development Program 360° assessment process; enter questionnaire and messages into the system, track participant progress, send group and individual reminders, download, save, and send reports, reconcile access issues; supports other tools and assessments such as Individual Directions Inventory, MBTI, StrengthsFinder, and any new tools that CWD offers.
  • Provides project management and coordination for CWD programs and events including but not limited to the Administrative Fellows Program, Career Connections Across Harvard, executive training, Harvard Leadership Development Program alumni events, and the Talent Development Program.
  • Serves as point person for the CWD SharePoint site.
  • Other duties and projects as assigned.

Basic Qualifications

  •  Minimum of 5 years related work experience required.
  • Related work experience includes administrative support, program support, event coordination, or customer service.
  • Proficiency in Microsoft products: Outlook Mail & Calendar, Excel, Word and PowerPoint required.

Additional Qualifications and Skills

  • Bachelor’s degree strongly preferred, or an equivalent of education plus relevant business experience.
  • Experience with Qualtrics or other survey creation tools.
  • Experience with Adobe.
  • Effective communication skills, both written and oral, comfortable communicating with employees at all levels.
  • Demonstrated customer service orientation and experience.
  • Proven problem-solving skills; critical thinking, creativity, judgement, and decision-making.  
  • Demonstrated ability to work in a deadline driven environment managing concurrent priorities for multiple stakeholders.
  • Demonstrated attention to detail and reliability on project and task follow-through.
  • Proven ability to work independently and as part of a team.
  • Self-starter with an eye towards project and program efficiency and improvement.
  • Capacity to develop and maintain strong professional relationships across the organization and to work collaboratively with colleagues.
  • Interest in the field of learning and development preferred.

Working Conditions

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only).
