The Department of Orthopaedics is currently seeking a full time Sr. Practice Manager to work in Miami, FL. The Senior Practice Manager directs and maintains all aspects of the daily activities of the practice for its successful operation, which includes the efficient and timely scheduling of patients for clinics and surgeries. Moreover, the Senior Practice Manager develops, trains, coordinates, and recruits personnel for the practice to ensure that all offices are properly staffed and operational.  Additionally, the incumbent supervises scheduling support staff for physicians to ensure patient access and satisfaction, and effective and efficient coordination of out-patient appointments.

CORE JOB FUNCTIONS   

  • Manages and coordinates the activities of office and clinic personnel.

  • Approves time and attendance documents.

  • Oversees recommendations for hires, transfers, promotions, and terminations, and trains and evaluates all positions for the practice.

  • Maintains and adjusts job descriptions for department staff.

  • Sets goals and objectives for support staff and evaluates their performance.

  • Trains or facilitates the training of personnel within the assigned division(s).

  • Participates in customer service and leadership training.  

  • Attends University meetings regarding UCare, Epic implementation, HIPAA compliance, and third-party payor contracts.

  • Develops and implements an inventory control system for supplies and materials required by the practice.

  • Oversees employee, patient, and physician relations and problem resolution as it occurs in the offices.

  • Ensures compliance with University policies and procedures.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS                                                                                                                                                         

           

Education:

Bachelor’s Degree, required. Master’s Degree, preferred.

Certification and Licensing:

Allied health professional certification such as ATC is highly preferred.

Experience:

Minimum 5 years of relevant experience required

    Department Specific Functions

    • Collaborates with department leadership, fellowship coordinators, residency coordinators, and other administrators for the purposes of staffing and scheduling.

    • Trains Physician Assistants, athletic trainers, Medical Assistants, resident physicians, fellows, students, and other providers on the sports medicine clinic workflow.

    • Problem-solves and assists with use of information technology and electronic medical record software.

    • Maintains and updates repository of postoperative rehabilitation protocols, home exercises for patients, reference sheets for staff, and other documents.

    • Supports patient outcome measures by collaborating with Decision Support Analyst, implementing outcome surveys, and training staff.

    • Communicates with and educates scheduling staff (e.g. patient access representatives, call center agents) on appropriate patient scheduling and provider preferences.

    • Approves, coordinates, and schedules appointments including overbooks as requested.

    • Reviews and filters clinic schedules to ensure that patients are seen by the most appropriate provider to provide the best patient-centered care, and redirects when necessary.

    • Creates and revises provider clinic templates, including both in-person and telemedicine patients, considering provider preferences, patient needs, clinic space availability, and efficiency.

    • Updates scheduling cheat sheets, question trees, and algorithms to create systems for appropriate patient scheduling across the department.

    • Facilitates personalized care for high profile patients, Executive Medicine members, professional athletes, and other patients with Patient Experience and other team members.

    • Serves as liaison to outside groups to connect them to sports medicine services.

    • Performs marketing and outreach activities, in collaboration with marketing, development, physician relations, faculty, staff, and other UHealth departments to promote sports medicine.

    • Develops and maintains relationship with affiliated colleges, universities, and Athletic Training Programs.

    • Participates in and assists in the facilitation of sports medicine faculty meetings.

    • Meets and communicates with building administration at Lennar, Plantation, and any other clinic sites.

    • Works with billing and coding team to ensure proper entry of charges and problem-solve billing issues.

    • Coordinate with leadership, faculty and team members such as Decision Support Analyst to produce reports on clinic and operating room volumes, patient demographics, and other data as requested.
