The Department of Medicine has an exciting opportunity for a Full-Time Sr. Manager, Research Support to work on the UHealth Campus. The Senior Manager, Research Support leads the research program teams to ensure successful system implementation and upgrades. Specifically, the Senior Manager, Research Support oversees the day‐to‐day operations and resources of research staff and supports programs for their growth and development.

  • Pre-Award Responsibilities:

    • Responsible for Department of Medicine Pre-Award submissions. The Department of Medicine submits on average 275-300 grants per fiscal year. This includes but is not limited to NIH; DOD; FDOH; AHA; sub-grants with outside Higher Education Institutions; Industry Sponsored.

    • Submit complex awards, including mutli-pi, multi-site, multi project grants.

    • Assist faculty with budget creation, budget justifications.

    • Review all grant documents to ensure specific guidelines and formats are met before submitting to ORA for review.

    • Collaborate with the DOM Pre-Awrad Team on assisting with other submissions during vacations; FMLA.

    • Work cooperatively with ORA to ensure grant submissions meet specific guidelines per funding announcement and are submitted timely adhering to internal deadlines as well as ORA Deadlines

    • Provides additional documentation to the sponsor which is made a condition of funding release (other sources of support, etc).

    • Requests allocation accounts for and from other departments to provide accountability and transparency into collaborative science, and to manage overspend risk.

    • Track submissions throughout the submission process.

    • Report to Divisional Administrators monthly submission status which will assist with fiscal year budgeting.

  • Post-Award Responsibilities:

    • Responsible for reviewing all Notice of Grants Awards from sponsor forwarded from the Office of Research Administration. Review is based upon accuracy, content, adherence to institutional, government, and other sponsor guidelines.

    • Assist with Just-In-Time requests from ORA.

    • Work with Divisional Sr. Manager Research Support on setting up subawards, account reconciliations, cost transfers, payroll adjustments.

    • Provides additional documentation to the sponsor which is made a condition of funding release (other sources of support, etc).

    • Requests Pre-Award accounts to accurately reflect expenses on a project in situations where ORA does not have the right documentation to clear the funding for spend in Workday. Will perform a risk assessment and request Pre-Award account on behalf of the division where he/she agrees it is probable that the funding will be released (the risk is borne by the department).

    • Assist with ad hoc reporting requests not fulfilled by the ORA and/or Workday, from both outside agencies and SOM departments, including requests for documentation to support sponsored audits.

    • Works with ORA Accountants and Mangers to verify financial data and update and correct it as necessary in support of the final financial FFR report required to be made to the granting agency at grant closeout.

    • Understands financial transaction types and the advantages, restrictions, and compliance issues with each. These include purchasing and purchasing authorizations, legal documents, such as leases, purchase orders, purchasing cards, corporate travel cards, and Workday transactions including shopping carts, check requests, invoice payments, and cost transfers.

    • Knowledgeable about controller's office policies for purchasing, accounts payable, supply chain, accounts receivable, and effort.

    • Understand account types (sponsored, dowry, gift, endowment interest, royalty, internal grants, clinical, service center, general funds, and operating accounts. For each account type, is aware of the sources of revenue and expense for each, and the variables which influence each.

MINIMUM QUALIFICATIONS  

  • Bachelor’s degree in relevant field

  • Minimum 5 years of relevant experience

  • Knowledge of business and management principles.

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to establish department goals, and objectives that support the strategic plan.

  • Ability to effectively plan, delegate and/or supervise the work of others.

  • Ability to lead, motivate, develop, and train others.
