The department of Surgery has an exciting opportunity for a Sr. Manager, Business Operations position. The incumbent evaluates, administers, and manages all business and administrative matters including budget, operations, programs and personnel administration for the assigned department. This position also provides financial analysis and strategic planning as well as manages the budgetary controls in partnership with various levels of management.

CORE JOB FUNCTIONS                                                                                           

  • Manages, implements, coordinates, plans and evaluates the business operations for the department/division, which may include statistical, performance and managerial reporting, budget support, capital planning, and process improvement.

  • Develops and ensures adherence to the department’s annual budget, in accordance with University guidelines and policies. 

  • Participates in financial analysis and planning including monitoring and reporting on monthly budget variances and opportunities to improve performance.

  • Advances the strategic financial plan and makes recommendations to senior management on how to best execute the department’s plan.

  • Formulates department policies and guidelines to carry out the University and department mission.

  • Oversees the review, approval and reporting of all expenditures. 

  • Reviews and approves financial transactions.

  • Creates and manages support systems to ensure availability of cost effective supplies, equipment, and management information.

  • Monitors contractual obligations and ensures consistency with departmental budget, goals, and programmatic initiatives.

  • Evaluates existing internal controls and approval processes, and makes recommendations on how to improve fiscal integrity and operational efficiency.

  • Implements department human resources actions, which may include hiring, terminations, salary etc. 

  • Recruits, trains and prepares performance reports for staff.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

  • Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS                                                                                        

  • Bachelor’s degree in relevant field required

  • Minimum 4 years of relevant experience

Department Specific Functions

  • Manage and organize department-wide mentorship program to strengthen cross-functional collaboration and development initiatives.

  • Organize DEI leadership meetings annually and prepare presentation assisting DEI leader to deliver presentation promoting diversity, equality and inclusion in all programs.

  • Support the development of diversity, equity & inclusion (DEI) initiatives and be a leader and advocate for employee interest groups.

  • Collaborate with management team in designing projects/programs that promote participation and engagement culture for remote and on-site employees.

  • Responsible for onboarding/offboarding/credentialing for all Department Faculty.

  • Participate with the recruitment and training of supervisors, managers and division administrators.

  • Support and develop initiatives that promote healthy cross-department internal communication and collaboration.

  • Keep staff informed of any organizational changes, performance and general information

  • In collaboration with the Director of Operations, establish quantitative and qualitative metrics, guidelines and standards by which the company's efficiency and effectiveness can be evaluated; identify opportunities for improvement.

  • Collaborate with leaders and key stakeholders to ensure company-wide surveys, regularly occurring internal program cycles, internal events, and other projects are prioritized and executed.

  • Continuously promote scalable process improvement ideas and suggestions to optimize resources, driving program and technology utilization and change adoption to streamline internal operations.

  • In collaboration with the team, plan and execute annual company events.

  • Identify multiple paths to evaluate and measure employee engagement, and develop and monitor programs that increase engagement.

  • Use existing systems to ensure policies, procedures and announcements are harmonized and consistent communicated, enforced throughout the department.

  • Support and promote the company values through positive interactions with both internal and external stakeholders on a regular basis.

  • Other strategic business initiatives or special cross-functional project involvement as required.

  • Work with numerous division leaders to help a smooth onboarding and assimilation process for new hires.

  • Creates and distributes a variety of media (Magazines, Flyers, Photography, etc.) for internal needs.

  • Assists with initiating, amending and transferring visas such as DS2019/J1, H1B, O1 and EB-1 visas. 

  • Manages HR related tasks such as posting new/replacement positions, internal promotions, internal transfers, compensation adjustments, initiating supervisory organizations and time keeping.

  • Organizes interviews for Faculty and Staff, acquires feedback and participates in hiring fairs/events.
