The Department of Surgery is currently seeking a full time Sr. Grant Administrator to work in Miami. The Sr. Grant Administrator oversees the pre- and post-award grant process for assigned division(s) and establishes standards and deadlines for proposals, reviews proposals for completeness, and ensures compliance with organizational or foundation standards. Furthermore, the Senior Grant Administrator maintains accurate and updated records of funding sources and grant applicants.

CORE RESPONSIBILITIES

  • Mentors, supervises, and trains junior grant administration staff to further talent development.

  • Approves and processes all purchase requisitions and vouchers for supplies, equipment, personnel, services, and reimbursements.

  • Reviews expenditures and encumbrances and identifies and independently resolves any discrepancies, working with other departments to identify key issues and develop solutions or action plans.

  • Works to closeout research funds and resolves fund deficits and under-expenditures.

  • Assists in the departmental faculty salary budget process by managing and administering the allocation of research personnel funds.

  • Participates in the development and enhancement of systems to improve functionality for administrative staff and investigators. Interprets sponsors and institutional guidelines.

  • Prepares regular and complex special reports, financial statements, forms or studies for sponsors and researchers.

  • Tracks grant applications and awards, and follows up with funding agencies.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS                                                                         

  • Bachelor’s degree in relevant field.

  • Pre and Post-Award experience working with Research Administration with a minimum of 3 years.

  • Minimum 4 years of relevant experience.  

The Department of Surgery has an exciting opportunity for full time Sr. Grant Administrator to work in the Medical Campus. The Sr. Grant Administrator for the Department of Surgery Research Division assists Department’s Sponsored Program Director with planning, developing, and coordinating all business operations of the basic science research divisions and centers within the department to ensure daily efficient operations and staff compliance with all established policies and procedures for Pre-Award and grant submittal. 

Assist Principle Investigator/Faculty with all Pre-Award applications Ensures ongoing COI compliance status with PI. Assist PIs with letter of intents and pre-application submissions. Reviews sponsor solicitation for proposal content and requirements and ensure PI addresses requirements. Prepares budget based on input from PI about specifications provided by the sponsor in the solicitation. Coordinates the preparation of collaborative proposals, which includes collecting proposals and sub recipient commitment forms from sub award institutions. Assist in obtaining letters of intent for sub-site entities and all other pertinent information. Identifies final budget, budget justification, and statement of work and ensures they are compliant with specifications provided by the sponsor. Assists with uploading of budget page, Biosketch, publications list, current and pending support list, certification of pages, and other required forms in the UM IBIS System Assists with creating pdf files, hard copies and routing via IBIS System for ORA’s approval Gathers and uploads documentation for just-in-time requests in a timely manner Ensures PI & project are COI compliant before award is released. Ensures Subaward agreement and requisitions are uploading to IBIS System for timely setting up of contract
