Job Summary
The Sports Medicine Insurance Coordinator works as part of Harvard University Health Services (HUHS). Under the general direction of the Associate Athletic Director for Student Athlete Health and Performance and the Head Team Physician, this position ensures optimal health care management regarding insurance benefits for student-athletes and administrative support for the Harvard Sports Medicine staff. Serves as the coordinator and liaison between insurance carriers, insurance broker, medical providers, and the student-athlete regarding medical care coverage of athletic-related injuries, claims, and billing statements, as well as provides administrative support related to the day-to-day operations of the Harvard Sports Medicine Department.
Position Description
DUTIES AND RESPONSIBILITIES:
- Secures and maintains all student-athletes' insurance policy information.
- Reviews and approves insurance claims and medical bills associated with a student-athletes intercollegiate sports injury.
- Serves as the liaison between Sports Medicine department and athletic injury insurance claims personnel in regard to athletic injury claims, billing statements, EOBs, and all other supporting documentation as needed.
- Coordinates with physician offices, Harvard University Health Services, and other medical facilities on billing procedures to ensure claims and payments are processed in a timely fashion.
- Assists in the scheduling of and facilitates billing for physician appointments, diagnostic testing appointments, and surgical appointments.
- Assists in price negotiation for some claims.
- Maintains and submits documentation to the electronic medical record.
- Assists with distribution of medical forms through the electronic medical record.
- Performs other duties as assigned or deemed necessary to the administrative operation of the athletic training room.
- Assists with the annual renewal of the Intercollegiate Athletic Accident Insurance program.
- Keeps up to date on NCAA guidelines and legislation pertaining to student-athlete medical coverage.
COMPLIANCE:
- Adheres to the expectations and professional responsibilities of the department.
- Employs the standards, practices, and procedures of the department.
- Completes and complies with HUHS training requirements including HIPAA Privacy and Security.
- Reports non-compliance incidents to the supervisor, manager, and/or Compliance Officer.
Basic Qualifications
- Associate's degree or equivalent education/experience.
- Knowledge of billing, medical practices, medical insurance requirements, and HIPAA/FERPA regulations.
- Strong written/verbal communication skills and attention to detail.
- Ability to maintain confidentiality, multitask, work under pressure, work independently, and complete tasks timely.
- Effective decision-making and relationship-building skills with sports medicine staff, physicians, coaches, and student-athletes.
- Ability to learn/use an electronic medical record system and learn and apply NCAA rules/regulations.
Additional Qualifications and Skills
- Bachelor's degree in related field
- Experience as medical assistant, insurance coordinator, or related field.
Physical Requirements
All Harvard University Health Services (HUHS) staff and staff affiliates are considered Health Care Workers and as a condition of employment must provide documentation of the following:
- Letter of good health from your personal health care provider.
- TB skin test (within past 3 months) or, if known skin test positive, documentation of previous chest x-ray, information about any past treatment.
- Documentation of immunity (positive antibody titers) for Measles, Mumps, Rubella and Varicella.
- Proof of appropriate past immunization for Measles, Mumps, Rubella and Varicella.
- Hepatitis B vaccine series – required for staff with possible exposure to blood or blood borne pathogens.
- A current Flu vaccine (this season) and Covid vaccines to include the Primary series and Bivalent Booster.
The required medical documentation/medical clearances can often be obtained by contacting your Pediatrician, PCP, medical provider. Titers, TB Skin testing can be performed by appointment at Occupational Health facilities.
