Specialist, Alumni and Constituent Engagement - University Advancement

University Advancement (UA) supports the entire CMU community in building relationships with key constituencies and securing the financial resources the university needs to continue its ascent. As the division grows, we are seeking a specialist, Alumni and Constituent Engagement. This is an exciting opportunity if you thrive in an interesting and challenging work environment. Reporting to the associate director, Alumni and Constituent Engagement you will support, advise on and administer Alumni and Constituent Engagement strategies and programs, with specific attention to data entry, management, reporting and analysis. You will also support and administer the Alumni and Constituent Engagement team’s engagement manager initiative while providing guidance and training in assigned areas of responsibility for internal and external partners.

Your core responsibilities will include:

  • Providing assistance in the development, implementation, and coordination of Alumni and Constituent engagement strategies, programs and services, with a specific focus on assigned program areas.
  • Entering and maintaining Alumni and Constituent Engagement data, primarily for events and volunteer records, into advancement databases.
  • Providing reporting and analysis on Alumni and Constituent Engagement programs and strategies.
  • Supporting the maintenance of accurate T360 volunteer data through data coding, auditing and tracking and by training campus partners responsible for volunteer data.
  • Providing registration tracking and reporting for large-scale, complex and/or priority Alumni and Constituent Engagement events.
  • Providing training on the advancement database and related tools for the Alumni and Constituent Engagement team and campus partners.
  • Serving as a liaison between Alumni and Constituent Engagement and Advancement Information Systems to facilitate accurate data entry and reporting and to develop best practices.
  • Serving as administrative contact for online tools.
  • Supporting and administering the Alumni and Constituent Engagement team engagement management program.
  • Participating in the monitoring and analysis of programs; identifying program needs and areas for improvement.
  • Supporting the assistant director, University Events and Engagement with data specific tasks as needed during office-wide events: 1) Requesting list pulls and meticulously reviewing subsequent data for email invites and Marketing Cloud send reports. Updating database and overseeing records and contact matching. 2) Working with check-in platform before and during events to organize RSVP lists and additional registration tasks. Managing onsite registrations for high profile events, on and off campus.

You should be able to travel domestically and be willing to work outside of normal business hours as needed. Evening and weekend work will occasionally be required; teleconferencing is required with varied times due to time zone differences. You should be able to work in a variety of environments related to indoor and outdoor university events.

Qualifications 

  • A bachelor’s degree is required.
  • One to three years of experience within a university/non-profit organization.
  • Progressive administrative experience and/or experience in alumni relations, development or student affairs preferred.
  • Experience with data management, compilation, tracking and/or entry is preferred.
  • Demonstrated knowledge in Salesforce is preferred.
  • Familiarity with advancement databases and web-based tools.
  • Proficiency with a variety of computer applications.

Requirements

  • Must possess and maintain a valid driver’s license and successfully complete a driver's license verification on an annual basis. Must complete the National Safety Council Defensive Driver Training once every three years
