Essential Job Duties
This position is responsible for assisting the Office of the Director of Athletics with
identified special projects to help support the mission and vision of the Department. The Special Projects Coordinator will report to the Athletic Directors Executive Assistant with oversight from the Chief of Staff to help identify the priorities and the scope of projects.
Job Responsibilities
  • Manage special projects as requested by the Director of Athletics and/or Chief of Staff.
  • Assist the Executive Assistant in the coordination of internal and external meetings and speaking engagements on behalf of the Director of Athletics.
  • Prepare research and meeting materials as requested for the Director of Athletics and Executive Staff.
  • Attend meetings as athletics representative as requested.
  • Provide comprehensive program support and project management for the Executive Leadership team.
  • Serve as the first point of contact for coaches, staff, and visitors during regular business hours and as requested, including but not limited to: answering the phone line for the Department, providing customer service to guests, visitor parking, ordering supplies, reconciling purchasing cards, arranging travel, planning special events, and assisting with special projects, as requested and assigned.
  • Perform ad-hoc analysis to address specific business questions and produce actionable insights.
  • Build and manage dashboards to support overall business operations and provide clear insight into historical, current and projected performance as requested.
  • Initiate financial reporting actions (P-Card reconciliation, travel reimbursement, team travel, official visit forms, etc.) in coordination with the Athletic Business Office.
  • Enter, upload documents, and maintain information in various athletics software databases (e.g., TeamWorks, ARMS, and NCAA) as requested.
  • Prepare memos, meeting minutes, and other correspondence, as requested.

    Qualifications


    Minimum Experience/Education
    Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
     
    All degrees must be received from appropriately accredited institutions.
    Other Required Qualifications
    • Proficiency with Microsoft Office and Google product suites. Advanced in Excel and/or Google Sheets.
    • Strong proficiency working with large volumes of disparate information and the ability to query, transform and integrate information from multiple sources.
    • High energy and flexibility to manage diverse responsibilities and multiple tasks in a fast-paced rapidly changing environment.
    • Demonstrated experience anticipating the needs of executive-level staff and ensuring priorities and logistics are met.
    • Demonstrated ability to manage multiple activities in a deadline oriented environment; highly organized, flexible and rigorous attention to detail.
    • Sound judgment, maturity, and the ability to handle sensitive information with discretion and poise.
    • Excellent writing skills: the ability to draft and edit high-quality written materials and correspondence.
    • Excellent interpersonal skills: the ability to interact with diverse and multiple internal and external constituents.

    Preferred Qualifications
    Prior experience working in or participating in collegiate athletics.
