Summary:
Reporting to the Special Events team, the Student Intern will provide administrative support to the 4-member Department of Special Events. This individual will support the planning, promotion and implementation of all matters relating to the Special Events department, which includes supporting the work of over 40+ events.

Responsibilities/Duties:

  • Build and edit emails in EMMA

  • Create social media graphics in Canva

  • Build reports for event attendance and email lists 

  • Work on Google Slides/PowerPoint "wrap reports" to summary special events data for leadership

  • Data entry and cleaning up data in Salesforce and Excel reports

  • Independently respond to inquiries for information and assistance (both internal and external).

  • Provide general administrative support to the team and other full-time department staff (i.e. filing, organizing, keeping inventory, updating calendars, etc.)

  • Assist and track event logistics and supplies, event inquiries, event payments and refunds, and the production of name tags and invitations.

  • Manage RSVPs from multiple sources (i.e phone, mail, emails, EMMA and Cvent Databases)

  • Receive, screen, and direct telephone calls, email, including researching and independently resolving questions and issues from event guests.

  • Reconcile event lists and update dashboard statistics

  • Research potential event venues and vendors (i.e. catering, a/v, florists, and etc.)

  • Draft, proofread, type, copy, distribute, and file correspondence and communications.

  • When possible, work events to provide day-of support.

Qualifications:

  • All Majors (Hospitality, Business and Data Science Majors Preferred)

  • Ability to work a minimum of 10 hours per week

  • Organized, proactive and pays attention to the details

  • Excellent written and oral communication skills

  • Demonstrate excellent customer service

  • Ability to own projects, multi-task and manage time efficiently

  • Works well under pressure in a fast-paced environment

  • Ability to work some nights and weekends

  • Proficiency in Microsoft Office (Word, Excel & PPT)

  • Experience with Google Drive and Calendar

  • Strong organizational skills are a plus

  • Aptitude for learning systems (Cvent, Salesforce, Qualtrics, etc)

Salary Range :

18.07-22.00
