Position Summary

Reporting directly to the Simulation Center (SIM Center) Director of Operations and indirectly to the Medical Director of the Simulation Center, the SIM Center Simulation Coordinator will be responsible for providing general administrative support to the SIM Center, managing the scheduling and use of all SIM Center spaces, and coordinating all activities that take place within those spaces, including Continuing Medical Education (CME) programs.


Responsibilities

  • Provide general administrative support for the SIM Center.
  • Oversee all components of office reception, including assisting learners, educators, and other guests; responding to phone calls and e-mails; and creating a welcoming and responsive office culture dedicated to the highest level of customer service.
  • Oversee the management and ordering of office supplies, office equipment, and facilities including the management of inventory, security, and maintenance as needed.
  • Coordinate, using B-Line software, SIM Center room scheduling (e.g., exam rooms, procedure rooms, debriefing rooms, and so forth).
  • Initiate all SIM Center supply and capital equipment requisitions, Purchase Orders, laundry, food, water and all other purchases for the SIM Center using Columbia Purchasing software. Submit proper documentation for SIM Center purchases, this includes obtaining required quotes, COI’s, competitive quotes. Submit for payment all invoices for SIM Center supplies.
  • Resolve (or escalate, as appropriate) competing requests for Sim Center space according to Vagelos Education Center (VEC) Space Use Policy.
  • Enforce the Space Use Policy as it applies to the SIM Center, including monitoring cancellations and no shows.
  • Liaise with the Manager of VEC Operations, who schedules all non-SIM Center space in VEC, to reserve non-SIM Center space and to reserve SIM Center space for non-SIM Center activities.
  • Coordinate planning for all SIM Center activities, working in collaboration with Facilities, Public Safety, Faculty Club (catering), the Center for Continuing Medical Education, and other P&S and CUMC offices.
  • Participate in the creation of budgets for SIM Center activities and generate invoices for all appropriate fees.
  • Coordinate the scheduling of standardized patients for various simulation activities and process-standardized patients’ payment requests.
  • Prepare monthly and periodic reports on SIM Center room use.
  • Performs other job duties as assigned.
  • Works at night and/or on weekends, as required.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus two years of related experience.

Preferred Qualifications

  • Experience working with room scheduling software or database programs (e.g. Line, R25, OASIS.)

Other Requirements

  • At least two years’ experience supporting the planning/administrative needs of a business office and\or academic department.
  • Excellent communication skills (both written and oral) and interpersonal skills to support interactions with learners and other stakeholders as well as SIM Center, P&S, and NYP faculty, management, and staff.
  • Collaborative approach to working with stakeholders, including learners, senior leadership, faculty, staff, and students.
  • Familiarity with personal computers is essential, particularly e-mail and Windows Office (Excel, PowerPoint, Word, etc.).
  • Strong organizational and project management skills.
  • Ability to exercise good judgment, including with respect to resolving conflicts.
  • Ability to undertake multiple tasks, set priorities, work independently, and meet deadlines reliably.
