Department Overview

The California Digital Library has four core programs: Shared Collections; Discovery & Delivery; Publishing, Archives, and Digitization; and the UC Curation Center (UC3). The CDL is a unit within the Academic Affairs division of the UC Office of the President, has a staff of 75+ and is located in downtown Oakland. Positioned within the Shared Collections program, the CDL Shared Print Team assumes a leadership role in supporting the collaborative efforts of the University of California Libraries and other academic libraries, enabling them to meet the information needs of faculty and students in the 21st century through efficient acquisition, sharing and restructuring of physical collections.
Position Summary
The Shared Print Analyst facilitates development, implementation and revision of operational policies and guidelines used by many libraries. The successful candidate analyzes collections, working with data, senior library administrators and subject librarians, to propose and facilitate UC and regional retention decisions and other collection management decisions. The Analyst is an excellent communicator, capable of guiding groups in complex technical and cross-institutional issues to arrive at common practices. The Analyst serves as a main operational contact for shared print projects among many libraries and storage facilities. Key Responsibilities
35% Operations management. Manage operations for existing shared print programs, including coordination of retention libraries, operational policies, statistics and reporting. Serve as the organizational expert on shared print operational policies, monitor and analyze use of them, and assist staff at institutions in interpreting and implementing them. Policies include shared print metadata disclosure, validation standards, access, resource sharing and discovery. Lead, facilitate and/or participate on collections and operations committees and working groups. As a technical leader, work with libraries to analyze and solve unprecedented problems in implementing collaborative efforts, consulting with senior library administrators. Develop proposals for new or modified operational policies to achieve community goals as well as transition plans for consortial implementation. Collaborate with external partners, including other libraries, regional and national shared print programs, and service organizations such as OCLC on shared print policy issues and operational models. Represent shared print programs when coordinating changes with other external partners and providers.
40% Collections Analysis and Decision-Support. Analyze and evaluate library print holdings, and other data to facilitate evidence-based retention and shared acquisition decisions for print resources among library collection development staff. Identify, extract, compile, visualize and present data in reports. Normalize data and design templates for collection and use of uniform data. Using advanced expertise in collection management and library technical services and an understanding of organizational goals, advise and coordinate with oversight committees, library functional teams, and external partners to implement selection, acquisitions and inventory management models. Administer, evaluate and coordinate collections analysis, decision-support and related collection management tools and services on behalf of groups of libraries. Develop functional scope and requirements for modifications to existing and new systems capabilities to facilitate collection decisions. Prototype approaches and methods. Evaluate systems and tools in the marketplace.
25% Communications and Customer Service. Provide customer service, project management and communications support for shared print communities, including collaboration, negotiation and coordination among senior administrators in those communities. Serve as the primary contact for routine shared print operations for participating libraries. Evaluate, select and implement communication modes and software to convey program benefits, progress, and key operational elements. Provide project management and tracking for individual initiatives. With assistance, manage and design collaboration and communication mechanisms including website, wiki, email list, membership rosters, staff contacts and member access to tools.
Experience
Required Qualifications

  • Minimum of 8 years of experience within an academic or public library system, higher education, memory institution, or non-profit/for profit that serves the academic space.
  • Minimum of 5 years of experience working in a library or related setting in data analysis, assessment, and project management.
    Skills and Abilities
    Required Qualifications
  • Knowledge of library bibliographic data, metadata standards and publishing histories for collection management purposes, including potential changes through the life cycle of a serial publication (title, ISSN, publisher changes, forms of electronic availability.)
  • Expert analytic skills as demonstrated by the ability to draw conclusions in a logical, systematic way from complex data.
  • Ability to combine, manipulate and normalize large datasets from diverse sources for purposes of querying and analysis.
  • Ability to derive and synthesize patterns from disparate sources of information, and graphically present summaries, findings, key characteristics and relationships in order to model options for and guide senior administrators' group decisions.
  • Expert Excel skills, proficiency with MS Office suite.
  • Experience strategically leveraging software for data visualization, website development, surveys, webinars, email lists, and wikis to support robust communication, convey program benefits, and cultivate strong customer service relationships.
  • Excellent written and verbal communication skills, with a very strong customer service mindset.
  • Excellent tact, diplomacy, discretion and ability to influence, when working with clients and senior administrators.
  • Ability to effectively coordinate efforts within CDL or with staff at other organizations, as an operations leader, committee chair or participant.
  • Ability to effectively make decisions and provide guidance on operational aspects to facilitate the work of others.
  • Advanced skills in project management for discrete, small to mid-size projects.
  • Strong organizational skills.
  • Highly self-directed with demonstrated ability to plan assignments for self and committees.
  • Ability to monitor progress, balance and negotiate priorities, report operational progress, and adjust.
  • Ability to readily grasp organizational and programmatic goals, request and seek clarification, gather evidence for and develop proposals or recommendations to advance a new collections or technical service approach or modify an existing one.
    Preferred Qualifications
  • Thorough knowledge of cooperative library collection development, cooperative collection management and/or cooperative technical service options and goals.
  • Experience with developing rubrics for triaging library preservation resources, assessing electronic availability and/or rights status of publications.
  • Familiarity with organizing digitization projects.
  • Ability to travel to libraries, storage facilities, conferences and give presentations.

    The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
