Serials Specialist

Stanford Libraries is seeking a part-time Serials Specialist to join Bowes Art and Architecture Library.  The Libraries values are rooted in a commitment of mutual respect, the idea that every member of the staff has something to contribute, and that learning is constant.  We seek a team member who is ready to share their skills and perspectives.

Core Duties:

Serials Processing (20%)

  • Check in serials issues.  In coordination with central serials staff, monitor serials cancellations, ceases, title changes and claim missing items; follow up on claims; request volumes from OP vendors as needed. Receive and prepare incoming serials for display.
  • Use available online resources (e.g. WorldCat, Ulrich’s) for verifying publication of serial issues, lapse of serials, etc.
  • Provide liaison with central serials records staff for problem resolution.
  • Receive and process incoming gift and exchange serials and auction catalogs from Cantor Center and other sources; send items to auxiliary storage as needed.
  •  Update local serials documentation as required.
  • Track online availability of serials and send volumes to auxiliary storage.

Serials Bar-coding and Binding (10%)

  • Prepare all serials for binding using ABLE; maintain file of binding information.
  • Prepare for binding unique and rush monographs. 
  • Evaluate binding quality quarterly, providing statistical reports to Binding Dept.
  • Request bibliographic corrections in holdings, notes and title changes when necessary.

Public Service (10%)

  • Provide courteous and competent public service to patrons, including explanations of stack access and circulation policies. Enforce such policies when necessary.
  • Duties include charging/discharging books, placing and modifying holds, negotiating overdue issues, etc.
  • Provide reference service on demand using library catalog, specialist databases, and text resources.
  • Shares responsibility for security/portal control.
  • Open and close library during regular academic year as needed.

Special projects as assigned (5%)

  • Assist putting up and taking down quarterly reserves.
  • Copy catalog incoming auction catalog holdings and continue to copy catalog legacy auction catalog collection. Manage migration of WEST volumes to auxiliary storage.
  •  Assist processing of locked stack items. 
  • Process items returning to Art Library holdings from auxiliary storage (PWI).
  • Assist in processing incoming new books as needed.

Supervision (5%)

  • In the absence of the Student Supervisor and Operations Manager, assist in training and supervise student staff.

On occasion, the Serials Specialist may be offered additional hours up to 10 additional hours weekly depending on operational needs.

The Serials Specialist may be assigned several duties within one or more functional areas of a library.  Performs tasks under general supervision, exercising some initiative. May supervise hourly employees and oversee the day-to-day operations of a branch library or library.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED:

  • Two-year college degree plus three or more years of experience in an academic library, or equivalent combination of education and relevant experience.

Minimum Knowledge, Skills, and Abilities Required:

  • Experience with direct interaction with patrons
  • Demonstrated supervisory experience
  • Demonstrated computer literacy with word processing, spreadsheets and communication software such as email
  • Demonstrated interpersonal and organizational skills
  • Able to apply judgment in choosing procedures and evaluating alternatives
  • Demonstrated ability to perform detailed tasks accurately and efficiently
  • Possess strong communication skills in English
  • Demonstrated ability to be flexible and work well under pressure
  • Record of excellent attendance
  • Experience using or ability to learn one or more library automated systems
  • Knowledge of or ability to learn Library of Congress call number systems

Physical Requirements*:

  • Ability to push a cart weighing up to 650 lbs. that requires an initial push force up to 70 lbs.
  • Ability to work in an environment that is dusty and or moldy
  • Ability to lift books that are up to 10 pounds
  • Ability to kneel and reach
  • Must be able to stand for many hours
