Job Summary

The Senior Undergraduate Programs Assistant provides high-level administrative support to the undergraduate program.  This position administers bi-weekly analytical reports in Cognos for the Department Head and Academic Advisors of admitted freshmen and transfer students, maintains the freshmen database of confidential personal and academic information and processes welcome and scholarship letters. In addition, the Senior Undergraduate Programs Assistant maintains all undergraduate student records including setting up new student files, maintaining undergraduate student database of confidential personal and academic information and administers GPA reports to Undergraduate Committee. This position also serves as Schedule Deputy for the department as well as the primary support for AG Education Faculty and multiple ASEC Staff members.


What You'll Be Doing:
  • Serve as primary support for AG Education Faculty and multiple ASEC Staff members
  • Develop, implement, and maintain /improve processes related to administrative support operations, arrange travel, order supplies, ensure proper functioning of office equipment
  • Perform non-routine administrative functions; prepare reports/presentations, respond to information requests, manage correspondence, update and maintain mailing lists, databases and websites
  • Serve as department Schedule Deputy to complete Timetabling and schedule room assignments in Unitime, coordinate offerings in Banner for each term, serve as textbook coordinator, and coordinate instructor course evaluations
  • Provide guidance to all instructors in utilizing MyPurdue and Brightspace with entering grades, maintaining FERPA/GLBA, Final Exams, “Roll Call” Initial Course Participation Recordkeeping, and reviewing course rosters
  • Act as liaison between ASEC and AGAD to process changes to ASEC Course offerings utilizing Curriculog (Addition, Deletion and Modification of a Course) for new and current courses. Collect ASEC course syllabi
  • Assist in planning and-implementation of Department commencement activities
  • Mentor and/or train other staff as needed

What We're Looking For:
  • High school diploma/GED
  • 3 years of program/project support experience
  • Excellent verbal and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, and other Microsoft programs
  • Ability to collaborate and communicate with individuals at all levels within and external to the university and support department needs
  • Ability to identify problems and implement or recommend solutions
  • Drafting, proofreading and editing skills

 

Nice to Have:

  • Knowledge of Purdue systems such as Cognos, Banner, UniTime, Curriculog Brightspace
