Position Description

The Talent Acquisition and Outreach (TAO) team, within Harvard Human Resources (HHR) in Central Administration, is dedicated to improving and enhancing talent acquisition (TA) efforts across Harvard University. We do so by working collaboratively across all schools and units to strengthen best practices, enhance systems performance and efficiency, develop and maintain internal and external partnerships, enhance recruiter, candidate, and manager experiences, and ensure compliance with a fair hiring and selection process.

The Senior Talent Acquisition Program Manager reports to the Associate Director of Talent Acquisition Programs, Systems & Initiatives and is responsible for supporting the design, implementation, and execution of various University-wide TA programs and initiatives. They are also responsible for maintaining various University-wide TA systems. In doing so, the Senior Program Manager works closely and collaboratively with the 100+ member TA community across Harvard University. This role requires an individual who is an independent thinker, exercises solid judgment and discretion, can manage multiple competing priorities, stakeholder relationships and expectations simultaneously, has strong attention to detail, and who can work strategically, tactically, and flexibly. 

Duties and responsibilities include, but are not limited to, the following:

  • Day to day supervision of the work of one staff member (Program Coordinator); this includes providing daily support and guidance, training and development, workflow, and the promotion of an inclusive work environment.
  • In partnership with team leadership, assist with the designing, implementation, execution, and management of University-wide TA programs; drive operational efficiency, and seek opportunities for enhancement and streamlining.
  • Manage day-to-day operations of current University-wide TA systems (applicant tracking system (ATS), reference checking system, background screening system, etc.) including access management, participating in regular business reviews, collaborating closely with Harvard University IT to troubleshoot and find long-term solutions to issues, monitoring and maintaining compliance, and acting as a primary liaison between the University and the vendors for such systems; participate in meetings with the ATS governance committee; escalate issues as they arise.
  • Manage the day-to-day activities of Harvard’s LinkedIn Hiring Enterprise Program and related branding efforts.
  • Act as a first point of contact for the Harvard-wide TA community, including triaging inquiries and providing both guidance and resources (related to systems, recruitment best practice, compliance, etc.); participate in various governance committees and working groups which seek to understand the needs of the various Harvard schools/units; assess feasibility of new initiatives to address such needs, assist in developing and implementing effective solutions.
  • Oversee the external-facing Harvard employment email inbox, including providing guidance related to responding and triaging incoming inquiries; escalate issues as they arise.
  • Partner closely with the Affirmative Action and Diversity Analytics team, as well as various other internal teams, to monitor and maintain compliance related to the TA process.
  • Participate on the central program team responsible for overseeing the University’s Contingent Workforce Program; this includes acting as a liaison to the MSP provider, providing day-to-day programmatic support to internal partners, supporting ongoing training and education needs, problem solving as issues arise, and maintaining program assets.
  • Develop and maintain various resources including training materials, job aids, and websites; present at and facilitate live trainings/meetings with varying quantities of participants.
  • Provide programmatic support to other teams within TAO as needed.
  • Perform other duties as assigned.

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 7 years’ relevant HR experience
  • Project and/or program management experience

Additional Qualifications and Skills

  • Experience in talent acquisition/recruiting operations preferred. 
  • Strong relationship building skills, as well as customer service and problem-solving orientation; advanced written and verbal communication skills.
  • Demonstrated skill in partnering with stakeholders with differing priorities to gather insights, data, and feedback, and translating information into both actionable initiatives and presentations.
  • Proven ability to manage a project and/or program from initial concept through to implementation and delivery; experience owning large-scale projects and initiatives autonomously; strong attention to detail.
  • Advanced skills in Microsoft Word, Excel, and PowerPoint; strong overall technical skills.
  • Knowledge of employment law and HR policies and practices preferred.

Working Conditions

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

PLEASE NOTE: This position has a term end date of two years from date of hire, with possibility for extension. The desired and intended start date for this hire is July 2024.
