Job Summary

Please be advised that this position is temporarily funded with the anticipated end date of February 1, 2026. The position may be extended, depending on funding availability. 

This role is the first point of contact for the Student Employment Office (SEO) for current and potential students and parents, on-campus supervisors, faculty, and staff. Serve as the key SEO staff member in managing the office, meetings, communication, escalations, etc.  

Learn and develop an understanding of web-based job posting system, Symplicity, in order to handle requests/questions from students and employers.

Learn and develop an understanding of web-based hiring system in order to handle requests/questions from students and employers.


Job Responsibilities

Office Management

  • Oversight of Office Email
    • respond to inquiries from students, parents, faculty and staff
    • escalate issues or questions as appropriate
    • monitor student employee notices of exceeding hours and respond as needed
  • Coordinating Monthly Q&A
    • Schedule
    • Request interpreters
    • Connect with guest panelist
    • Create slide decks
    • Monitor registrations and questions
  • Office Supplies
    • Monitor and make lists to provide to Sr. Student Employment Assistant for ordering
  • Assisting in developing and establishing fiscal, operational, program/project and office work procedures, processes, practice to improve overall operations and/or compliance
  • Monitor SEO website and work with Marketing Manager to make edits/adjustments based on campus and employment regulations updates
  • Student Employees
    • Serve as immediate point of contact for SEO student employees
    • Responsible for oversight of daily activities
    • Responsible for managing and maintaining schedule each semester and during breaks
    • Responsible for identifying gaps in schedule and need for hiring student employees
    • Work directly with Assistant Director to recruit, interview, and fill identified gaps
  • Symplicity
    • Review and approve all on campus job postings daily to ensure adherence to federal, state, and local guidelines
    • Set up accounts for new faculty/staff
    • Troubleshoot errors in submissions
    • Troubleshoot and answer questions from end users
  • Online Hiring Tool
    • Review and approve necessary submissions for hire or New Hire Packet
    • Troubleshoot errors in submissions
    • Troubleshoot and answer questions from end users
  • Assist on-campus supervisors with Onboarding/Hiring of new student employees
    • Manage I9 completion using Equifax Compliance Center
    • Troubleshoot I9 issues

Required Qualifications

  • 3-5 years database management experience, experience with desktop and database troubleshooting, ability to understand basic programming.
  • Ability to manage multiple projects simultaneously
  • Ability to manage fast-paced environment during peak hiring season
  • Excellent verbal and written communication skills
  • Experience working in higher education, working with diverse campus populations
  • Ability to effectively communicate with co-workers to understand system problems and to clearly answer questions
  • Customer service focus

Preferred Qualifications

  • ASL proficiency ideal
  • Experience completing I9 process for hiring
  • Knowledge of federal, state, and local wage and hour laws, and hiring regulations

Associates or Equivalent Experience
