Summary

This academic year position serves as the Senior Secretary to the Faculty Senate Officers and maintains all faculty governance records for the Senate. Assists with tasks as requested; reviews and manages budget; maintains deadlines; does problem solving; is administrator for online elections. This position has limited supervision and must maintain all functions of the Faculty Senate Office, assuming responsibility and authority in the officer's absences.

Work Schedule: This is a nine-month, full-time position, working 8 am to 5 pm, Monday through Friday from mid-August through mid-May. Pay periods run from August to May; benefits package is in effect all 12 months, including summer. Will not receive compensation during the months not worked.


Essential Functions

  • Completes expenditures, budget transfers, purchases with credit card and prepares travel reimbursements. Supervises student worker if present; signs off on time in electronic time & labor system.
  • Relieves Faculty Senate officers of routine administrative tasks.
  • Updates and maintains the Faculty database in Excel - until such time that reports are developed to access the data in People Soft.
  • Schedules and coordinates special events: Establish speakers, dates, times, rooms, schedules, a/v, menus.
  • Under supervision of the Faculty Senate Secretary, responsible for all aspects of the Senate and University Standing Committee elections.
  • Prepares Access reports providing each college with the data necessary to hold their senate elections and collects results.
  • In consultation with Senate Officers: Creates agendas and attachments for Senate Executive Committee and Faculty Senate meetings.
  • Coordinates communications with and between Senate and University Standing Committees and the Senate Officers.
  • Maintains an archive collection of Senate agendas, minutes, correspondence, committee history, etc.
  • In consultation with Senate Officers: Create a new Faculty Senate calendar each year.
  • Maintains and updates Faculty Senate web site using Content Management.
  • Makes approved changes and updates to the Academic Charter online.
  • Maintains and updates all Faculty Senate listservs.


Minimum Qualifications

  • High school diploma or GED required

  • Ability to access and maintain document imaging systems, including scanning and filing documents
  • Ability to operate computers and peripheral equipment such as printers
  • Ability to draft office correspondence
