What We Want

SRS is seeking a Senior Project Administrator that will be responsible for independently coordinating complex administrative and financial details between Texas A&M University System, researchers, and administrative offices with an emphasis on post‐award administration of the International Ocean Discovery Program, its related subcontracts, and service center. We seek a candidate with a Bachelor’s degree or equivalent combination of education and experience and four years of administrative experience in a higher education or business environment. Preferably, the candidate will have a Bachelor’s degree in business administration or applicable field and four years of administrative experience in a higher education or business environment, experience in sponsored research projects management and/or accounting, and/or experience within the A&M System or other university setting. Experience interpreting and monitoring compliance with federal regulations, including OMB Circulars and Code of Federal Regulations, as they pertain to sponsored research and progressively responsible budgeting and/or project administration experience is a plus.  We seek to hire a candidate who loves working as part of a team in a fast-paced environment, providing exceptional customer service in a consultative manner, and possesses excellent communication skills. Salary: Compensation will be commensurate to selected hire’s experience.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience. 

  • Four years of administrative experience in a higher education or business environment. 

Required Knowledge, Skills, and Abilities:

  • Excellent critical thinking and analytical capabilities with attention to detail and accuracy.

  • Excellent verbal and written communication, organizational, interpersonal, proofreading and time management skills.

  • Ability to apply problemsolving skills to complex problems, prioritize and manage multiple projects and meet deadlines.

  • Ability to work independently and with minimal supervision.

  • Knowledge of word processing and spreadsheet software.

  • Ability to multitask and work cooperatively with others. 

Preferred Qualifications:

  • Bachelor’s degree in business administration or applicable field.

  • Experience in sponsored research projects management and/or accounting.

  • Experience within the A&M System or other university setting.

  • Experience interpreting and monitoring compliance with federal regulations, including OMB Circulars and Code of Federal Regulations, as they pertain to sponsored research.

  • Progressively responsible budgeting and/or project administration experience. 

  • CRA, FCRA  certifications. Strong mathematical and comprehension skills.

  • Advanced experience using Word, Excel and FAMIS, and/or Maestro. Ability to work with people of many backgrounds. 

Responsibilities

  • Subcontract Administration- Oversees the $40M annual ship operations subcontract budget, monitoring expenditures and preparing detailed cost projections for the IODP director. Gathers data from U.S. Economic Indexes, international fuel rates, input from ship’s corporate logistics department and other sources for use in projecting expenses and potential budget overruns. Determines ship leasing rates, and approves 2nd tier subcontracts between the ship owner and other service providers. Prepares twice monthly Ship Operations cost to complete report, prepares cost estimate reports for Program Director on an ad hoc basis, as well as an annual Drilling Costs report for TAMU Risk Management, and the annual program plan Ship Ops budget. Oversees and monitors expenditures on other IODP subcontracts, prepares cost projections for wireline services agreement, prepares subcontract amendments, coordinating with SRS and OGC as needed. 

  • Compliance Monitoring - Approves financial commitments for compliance with sponsor guidelines and TAMUS policies on behalf of IODP in AggieBuy. Researches regulations to provide financial and regulatory guidance on non‐standard or complex issues to researchers, departments and administrative offices. Provides financial data, as requested, to researchers, departments, members, sponsors and auditors. Audits internal SRS/IODP processes for compliance with SRS procedures.  

  • Project Coordination- Independently serves as the point of contact for IODP Program Director for financial reports and projections related Ship Operations. Works with staff scientists, FMO, and the IODP Director’s Office personnel on a portfolio of non‐standard, complex projects including the Ship Sales account, XRF service center and related program income. Coordinates complex administrative and financial details with researchers, department heads, co‐workers, and other university staff with an emphasis on post‐award administration of sponsored projects. Interprets/communicates award documents, sponsor regulations, federal, and state laws/regulations, and System policies and member rules for/to researches and departmental staff. Provides monthly Business Objects reports and works with TAMU Risk Management to obtain insurance for downhole drilling tools as needed. 

  • Financial Close‐Out- Coordinates financial close‐out of Ship Operations annual operating budget.  Performs other duties as assigned.
